Position Summary:
The Financial Operations Manager is tasked with the comprehensive oversight of all financial, accounting, and reporting functions that further the mission of the St. Louis Area Foodbank. This role involves leading daily financial operations and managing accounting personnel, ensuring adherence to all general ledger activities, compliance with contracts, and grant reporting. The Financial Operations Manager will collaborate with the CFO to establish and maintain effective systems and procedures that facilitate successful program execution. This position requires close interaction with program leaders and staff to provide guidance on accounting practices and to identify opportunities for the finance department to enhance program operations. Additionally, the Financial Operations Manager will assist leadership in strategizing to improve and better integrate various organizational systems, including Inventory, Human Resources, Technology Services, and Finance. Compliance with U.S. GAAP standards and regulatory requirements for all accounts, ledgers, and reporting systems is a critical responsibility.
Key Responsibilities:
- Keep the Chief Financial Officer informed of daily operations and promptly communicate any issues with proposed solutions.
- Oversee all accounts, ledgers, and reporting systems to ensure compliance with U.S. GAAP standards and regulatory requirements, including:
- Managing the annual time study and implementing its results.
- Updating cost allocation methodologies.
- Ensuring appropriate reconciliation between inventory sub-ledgers and general ledger accounts.
- Ensuring timely revenue and expense recognition in significant general ledger accounts.
- Monitoring the financial implications of inventory cycle counts and adjustments.
- Maintain internal controls and safeguards for revenue receipt, costs, and program budgets versus actual expenditures, including:
- Reviewing risk areas and developing corrective action plans.
- Testing to verify the accuracy and effectiveness of corrections.
- Coordinate all audit activities and compile necessary information.
- Ensure annual audits yield an unmodified opinion with no significant errors.
- Assist with external audits, including preparation of schedules, reconciliations, confirmations, and other required documentation.
- Consistently analyze financial data and provide accurate and timely financial reports, including:
- Clear communication of financial statement information.
- Monitoring financial progress and changes.
- Informing leadership of new or unusual trends.
- Updating budget forecasts as necessary.
- Assist with the annual budgeting and planning process, including:
- Administering and reviewing all financial plans.
- Collaborating with key leaders for monthly budget versus actual variance analysis, identifying root causes of significant variances, and developing corrective action plans.
- Supporting the CFO in engaging the board's audit and finance committees regarding financial operating models and trends.
- Oversee financial, project/program, and grants accounting, ensuring:
- Expenditures align with grant and program budgets throughout the contractual period.
- Gathering financial reporting materials for grants.
- Performing and reviewing general ledger reconciliations and analyses, resolving discrepancies as needed.
- Maintaining an appropriate Chart of Accounts.
- Keeping current written procedures for all core responsibilities.
- Leverage the strengths of the finance team members by:
- Hiring, training, supervising, and evaluating departmental staff.
- Clarifying roles and responsibilities.
- Identifying and implementing career-enhancing training programs.
- Providing leadership to strengthen internal communications across the organization.
- Creating a positive and supportive work environment.
- Updating Accounting Policies and Procedures as necessary.
- Provide strategic direction for payroll and labor collection activities, including:
- Monitoring changes in applicable laws for compliance.
- Coordinating or processing payroll accurately and timely.
- Ensuring all payroll tax returns and regulatory filings are completed accurately and on time.
- Perform other duties as assigned.
Qualifications:
- Bachelor's degree in accounting is required.
- CPA designation is preferred.
- 7 to 10 years of accounting and finance experience, preferably in a complex non-profit environment.
- Prior supervisory experience is required.
- Solid experience in audit coordination, grant reporting, budget development, accounts payable and receivable, general ledger, payroll, and accounting for investments and inventory.
- Passion for the Foodbank mission and alignment with SLAFB's Core Values: Stewardship, Teamwork, Agility, and Respect.
- Proficient in Microsoft Excel, including V lookups and pivot tables.
- Intermediate to advanced skills in Microsoft Word, Outlook, PowerPoint, and Microsoft 365. Experience with Microsoft Dynamics and Ceres is required.
- Strong interpersonal, analytical, organizational, and critical thinking abilities.
- Effective verbal and written communication skills.
- Ability to establish and maintain effective working relationships with diverse stakeholders.

- Must pass a criminal background check and drug screening.
Work Schedule:
- Monday - Friday, onsite and in the community as required.
- Flexibility in accordance with the SLAFB's Remote Work Policy.
- Occasional weekend or evening hours may be necessary.
- Meeting attendance may require travel.
