**Job Summary:**

We are seeking a highly organized and detail-oriented HVAC Team Administrator to join our team at Len the Plumber LLC. As a key member of our HVAC department, you will be responsible for providing administrative support to our team, ensuring the smooth operation of our business, and delivering exceptional customer service.

Key Responsibilities:

  • Customer Service: Work with the Call Center and Service Management teams to maintain customer satisfaction and handle customer concerns and requests.
  • Task Management: Assist with task management to ensure all requests and needs are handled in a timely manner.
  • Financial Management: Assist with processing and monitoring Wells Fargo transactions to ensure compliance with accounting processes.
  • Reporting: Create various reports as needed for the HVAC department.
  • Onboarding: Assist with onboarding of new HVAC employees as directed by Human Resources.
  • Inventory Management: Order and maintain stock of company uniforms as needed.
  • CRM Management: Create and maintain HVAC employees and technician accounts and profiles within the CRM.
  • Accounts Receivable: Collect and track all payments from the field and turn into accounting on a weekly basis.
  • Accounts Payable: Assist with resolving open A/R for the HVAC Department.
  • Meetings and Scheduling: Assist service and branch management with scheduling and coordinating weekly meetings with field staff.

Requirements:

  • Detail-Oriented: Highly organized and detail-oriented with exceptional follow-through abilities.
  • Communication Skills: Ability to conduct business in a mature, courteous, and professional manner.
  • Technical Skills: Strong Microsoft Office experience (Excel, Word, Outlook, Teams, PowerPoint).
  • Education: High School Diploma or equivalent required.
