What we seek:
A Project Administrator with over 5 years of administrative experience, ideally within a commercial or industrial general contracting environment, to contribute to our ongoing success.
Your responsibilities will include:
- Preparing and processing construction contracts (subcontracts, purchase orders, and change orders) within our internal systems for vendors and the accounting department.
- Utilizing daily Procore web-based project management applications.
- Generating monthly requisitions for payment on Procore or Excel lien waivers for payment processing.
- Coordinating bids and assisting with bid solicitations.
- Drafting and preparing documents, including Letters, Reports, Memos, Spreadsheets, and Meeting Minutes.
- Handling the production of confidential documents.
- Compiling final documentation in written format, requiring meticulous editing and proofreading.
- Maintaining, compiling, and processing closeout documents, O & M manuals, and warranties upon project completion. Providing front desk/reception support as necessary.
- Keeping accurate records of submittals.
- Assisting Superintendents with general project information, including travel arrangements as required.
Qualifications, Skills, and Experience:
- High school diploma or college degree.
- A minimum of 5 years of administrative experience, preferably with a commercial or industrial general contractor.
- Task-oriented with the ability to manage multiple priorities in a flexible, supportive work environment.
- Capability to work independently.
- Ability to thrive in a fast-paced environment with a strong sense of urgency to complete tasks promptly.
- Proficiency in Procore (Project Administrator level), MS Word (Advanced level), Excel (Intermediate level), PowerPoint, Outlook, and other necessary software for job-related tasks.
- Exceptional written communication and proofreading skills are essential.
- Must be organized and detail-oriented.
- Ability to establish and maintain effective working relationships with peers, supervisors, clients, and vendors.
- Capacity to work under deadline pressure and willingness to put in extra hours when necessary.
- Must be a collaborative team player and adaptable to change.
