Overview:


The individual in this role is responsible for ensuring precise patient registration, managing both in-person and telephone appointment scheduling, and performing clerical and record-keeping tasks to support an efficient, patient-centered clinic registration process.


Key Responsibilities:

  • Employing the AIDET communication framework, consistently engages with patients, providers, and third-party intermediaries in a professional and courteous manner.
  • Conducting thorough client registration interviews, collecting and confirming essential demographic, insurance, health, and financial information, and accurately entering it into the electronic system.
  • Coordinating appointment scheduling and documenting the reason for visit in the scheduling software.
  • Informing patients about any necessary preparations or special requirements for their appointments.
  • Providing travel directions to patients when required.
  • Accurately identifying patients in the Master Patient Index (MPI).
  • Verifying coverage and benefits through online processes for each appointment.
  • Recognizing clinical and financial criteria that necessitate the involvement of the case management team or Benefits Specialist.
  • Resolving scheduling conflicts to meet the needs of all parties involved.
  • Confirming patients' payment sources using online systems; accurately interpreting financial cues; providing patients with payment plan information or consulting with a Team Lead, Universal Benefits Specialist, or Coordinator as necessary.
  • Explaining the Health Center fee schedule to all clients and collecting fees based on client income.
  • Identifying deductibles, co-payments, and outstanding balances in accordance with policy, communicating amounts due to patients and payment expectations.
  • Maintaining annual goals for registration accuracy, call release status, call handle time, and average department call answer time.
  • Understanding and adhering to Health Center infection control policies.
  • Translating or obtaining language line assistance for clients and staff as requested.
  • Performing additional duties as assigned by AVP or Coordinators.
  • Initiating communication with supervisors to ensure efficient use of available work time.
  • Gaining a general understanding of the workload and specialized knowledge of other job duties in the Health Center Revenue cycle through cross-training.
  • Other duties as assigned.
Qualifications

  • Education obtained through an Associate's degree or equivalent work experience in a medical office or hospital in a similar capacity.
  • At least one year of experience in a medical office is preferred.

Bilingual Requirements:
Speaking – Required. Reading - Preferred. Written – Preferred.

  • Ability to alphabetize and perform basic arithmetic operations as necessary.
  • Compliance with health policies and requirements.

Essential Functions/Physical Requirements:

  • Ability to communicate effectively both verbally and in writing.
  • Manual dexterity sufficient for primary keyboarding, scanning, and filing tasks. 40 WPM preferred.
  • Intact tactile, visual, and olfactory senses.
  • Capability to manage high levels of stress.
