Key Responsibilities
- Manage office workflows and procedures, oversee payroll processes, handle correspondence, develop filing systems, review supply requests, and perform clerical tasks.
- Establish protocols for the retention, safeguarding, retrieval, transfer, and disposal of records.
- Design and implement office systems, layouts, and equipment procurement strategies.
- Generate and analyze specialized reports, summarize data, identify trends, and maintain a resident directory and contracts.
- Ensure compliance with required competencies for the role, identify educational development needs, and attend relevant training events.
- Oversee and track departmental budgets, expenses, and revenues, preparing necessary reports. Manage reimbursement processes for travel related to 9 GME programs.
- Transcribe, format, input, edit, retrieve, copy, and transmit data, maintaining multiple automated data management systems.
- Serve as the primary contact for residents, coordinators, program directors, and all services, acting as a help desk and conflict resolution center.
- Safeguard customer confidentiality and protect operations by maintaining discretion with sensitive information.
- Coordinate calendars for departmental personnel.
- Organize arrangements for meetings, conferences, teleconferences, or other departmental events, which may involve travel.
- Monitor office supply inventory, anticipate needs, place orders, and verify receipt of supplies.
- Ensure equipment functionality by adhering to manufacturer guidelines and established protocols.
- Complete assigned projects efficiently.
- Optimize the time management of directors and project development staff.
For positions involving direct patient interaction, employees must acquire and demonstrate the necessary knowledge and skills to provide appropriate assessment, treatment, or care based on the identified patient demographics.
Specifically, employees should exhibit competency in: 1) interpreting information in relation to patient needs; 2) understanding growth and development; and 3) recognizing the range of treatments required by patients.Competency must be validated through initial orientation and ongoing assessments to independently perform assigned tasks and additional responsibilities as outlined in the job description and specific competency checklist.

Education:

Experience:
- 7 Years in a Related Field
Substitution:
An Associate degree in a Related Field along with 3 years of experience may substitute for a High School Diploma and 5 years of experience in a related field.
