Position Summary

A Receptionist is responsible for performing various administrative tasks, including managing correspondence, filing documents, processing purchasing requests, handling cash transactions, and coordinating staff schedules. This role may also involve overseeing the daily operations of other staff members.

Education and Experience Requirements

Education: High School Graduate or equivalent

Experience: Minimum of six months in clerical or office settings.

Driver's License: Regular Driver's License Required

Certifications and Licenses

Required: In certain areas, the incumbent may need certifications in First Aid, CPR, AED, Cash Handling, and Defensive Driving.

Preferred: Notary Public

Knowledge, Skills, and Abilities

Knowledge: Familiarity with departmental procedures, office protocols, and relevant software applications.

Skills: Ability to perform quick and accurate arithmetic calculations; follow both oral and written instructions; organize and complete tasks efficiently; type documents swiftly and accurately; operate computers and modern office equipment.

Abilities: Capable of typing at a minimum of 30 net WPM; proficient in using technology and software common in office environments; able to read and execute detailed instructions; write routine correspondence; effectively communicate information to colleagues and clients; and solve problems involving various concrete variables.

Essential Functions

The following duties are typical for this position:
  • Manage telephone switchboard operations, including answering, screening, and forwarding calls while providing information and scheduling appointments.
  • Welcome visitors, ascertain their purpose, and guide them to the appropriate locations.
  • Disseminate information or documents to clients using various communication methods.
  • Address and resolve customer complaints effectively.
  • Perform administrative tasks such as proofreading and transcribing information.
  • Maintain organized records and files.
  • Provide information regarding the organization’s services and departments.
  • Handle mail and messages efficiently.
  • Process memos, correspondence, and other documents.
  • Receive payments and accurately record transactions.
Additional Responsibilities in Aquatics Center
  • Serve as the front-desk receptionist, managing admission fees and inquiries from patrons.
  • Maintain accurate financial records of collected fees.
  • Foster positive relationships with the public and ensure knowledge of all programs to address inquiries effectively.
  • Assist with program registrations and facility rentals.
  • Participate in training sessions and maintain a tidy reception area.
  • Collaborate with the Pool Manager and Head Lifeguards.
