Position Objective:
The Receptionist at JWCH Institute is a full-time role under the supervision of the Clinic Administrator. This position is crucial in conducting financial assessments for all clients to determine eligibility for state programs, managing reception duties, addressing client inquiries, and guiding clients appropriately. As the initial point of contact for patients, visitors, and healthcare professionals, this role embodies professionalism and compassion, contributing significantly to a welcoming atmosphere for patients while assisting with essential administrative functions.

Key Responsibilities:

  1. Welcome patients and visitors with courtesy and warmth. Efficiently manage patient check-in and check-out processes.
  2. Coordinate appointment scheduling, including consultations and follow-ups, ensuring compliance with clinic protocols.
  3. Handle incoming communications, offering assistance, scheduling appointments, and directing inquiries to the relevant staff.
  4. Maintain patient records with a focus on confidentiality and accuracy, assisting with data entry and updates as required.
  5. Conduct eligibility screenings for all clinic patients, verifying insurance coverage and addressing related inquiries.
  6. Process patient payments, including co-payments and insurance claims, collaborating with billing departments to resolve discrepancies.
  7. Monitor and manage office supply inventory, placing orders as necessary to ensure operational efficiency.
  8. Provide administrative support to medical personnel, including preparing patient charts, documents, and referrals as needed.
  9. Keep the reception area organized and presentable, ensuring that waiting areas are comfortable for patients.
  10. Comply with healthcare regulations, privacy laws, and organizational policies, maintaining the confidentiality of patient information.
  11. Ensure all patients possess the necessary identification and have completed required consent forms.
  12. Log patient information accurately in daily registers and maintain appropriate documentation.
  13. Complete necessary forms in accordance with established requirements.
  14. Ensure that patient identification cards are appropriately stamped on all relevant documents.
  15. Coordinate with the Medical Records Department for chart retrieval and filing as needed.
  16. Register clients electronically using the designated healthcare system.
  17. Perform additional duties as assigned.

Qualifications:

  1. Bilingual proficiency in English and Spanish is preferred.
  2. Minimum of one year of experience in a general office or healthcare environment.
  3. Familiarity with standard office procedures.
  4. Typing proficiency of at least 35 words per minute.
  5. Experience interacting with diverse clients and staff from various socio-economic and cultural backgrounds.
  6. High school diploma or equivalent is required.
  7. Strong communication and interpersonal skills, with the ability to engage professionally with patients, visitors, and medical staff.
  8. Excellent organizational skills, attention to detail, and the ability to prioritize tasks effectively in a dynamic environment.
  9. Proficient in computer usage and basic software applications.
  10. Familiarity with electronic health records systems is preferred.
