Role Summary

The Membership Services Coordinator plays a vital role in managing all aspects of membership operations, including data entry and maintenance within the My ClubHub system, member documentation, and follow-up on applications from the Division of Family Services.

Essential Qualifications

  • Comprehensive understanding of the organization's mission, vision, and objectives.
  • Familiarity with organizational policies and procedures.
  • High school diploma with a minimum of two years in administrative roles.
  • Three to five years of experience in club environments or related sectors.
  • Proficient knowledge of Youth Development Standards.
  • Competence in computer applications and software.
  • Effective communication skills with youth, parents, staff, and volunteers.
  • Current CPR and First Aid certification.
  • Strong bookkeeping and clerical abilities.
  • Self-motivated individual with exceptional organizational, interpersonal, and time management skills.
  • Valid driver's license.
Key Responsibilities
  • Maintain precise records for application intake, daily attendance, and member files.
  • Ensure accurate daily attendance documentation and reporting to administration.
  • Compile monthly data and membership reports on a daily basis.
  • Prepare weekly SACC reports for submission.
  • Oversee the SACC tracker, ensuring all data is accurate and up-to-date.
  • Assist the Unit Director with all membership-related reporting requirements.
  • Monitor My ClubHub to guarantee accurate information flow to the administrative office.
  • Meet all deadlines for membership data and information.
  • Train and supervise enrollment specialists in parent engagement during enrollment.
  • Oversee the entire membership enrollment process, ensuring completeness of applications and supporting documents.
  • Manage the sign-in process for members.
  • Coordinate with DFS on the enrollment of subsidized children, ensuring all applications and documents are complete.
  • Organize and conduct new membership orientation sessions.
My ClubHub Duties
  • Maintain the membership database.
  • Capture photos and produce membership cards.
  • Train and oversee volunteers in data entry, photography, and card production.
  • Export data at the conclusion of each Club day.
  • Generate reports as required.
Financial Responsibilities
  • Collect membership fees alongside applications and issue receipts.
  • Safeguard all collected funds and prepare daily deposits.
  • Once established, manage Money Trax for tracking member payment information.
  • Ensure completion and submission of all scholarship forms to Administration.

  • Foster a secure and supportive environment for youth development.
  • Achieve membership goals effectively.
  • Maintain a well-organized membership unit with accurate tracking of memberships, documented sign-in/out records, precise fund receipt processing, and exemplary customer service practices.
