JOB SUMMARY

Assist in the recruitment and onboarding processes by supporting talent acquisition specialists, hiring managers, and both new and existing team members throughout the organization's onboarding journey.

DUTIES & RESPONSIBILITIES

  • Manage all pre-employment tasks for new hires, including sending welcome communications, providing orientation information, and collecting all necessary HR and credentialing documentation.
  • Initiate and oversee the background check and pre-employment drug screening processes. Follow up with candidates to ensure all steps are completed, and review results to take appropriate action or escalate issues as necessary.
  • Facilitate the movement of candidates and team members throughout the recruitment and onboarding phases using the HR Information System (HRIS).
  • Serve as the primary contact for the talent acquisition team, candidates, and hiring managers, assisting with various administrative duties.
  • Promote talent acquisition initiatives by acting as a company representative, including leading weekly orientation sessions for new hires.
  • Assist with the assignment of team member badges and parking arrangements.
  • Coordinate communication with job candidates, including sending out denial letters.
  • Review and process I-9 documentation to ensure compliance.
  • Act as a resource for new team members, addressing general inquiries.
  • Perform additional job-related tasks as assigned.

QUALIFICATIONS

  • High School Diploma required.

FIELD(S) OF STUDY:

  • Some post-secondary education is preferred.

EXPERIENCE

A minimum of 1 year of experience in Human Resources in a clerical or administrative role.

COMPETENCIES/SKILLS

  • Proactive, organized, and detail-oriented with the ability to manage multiple tasks effectively.
  • Ability to adapt to changing business needs and unforeseen circumstances.
  • Strong interpersonal, verbal, and written communication skills to engage with team members across all levels of the organization.
  • Customer-focused communication skills to address inquiries or concerns from both internal and external stakeholders.
  • Sound judgment and discretion when handling sensitive and confidential information.
  • Intermediate proficiency in Microsoft Office Suite, particularly in Outlook, PowerPoint, Word, and Excel.
  • Familiarity with or ability to learn data entry and research skills in PeopleSoft HRMS and SharePoint.
