Event Coordinator Job Description

AEG is seeking a highly organized and detail-oriented Event Coordinator to join our team. As an Event Coordinator, you will be responsible for overseeing all aspects of events taking place in our venue, including developing, coordinating, and supervising event-related activities.

Key Responsibilities:
  • Communicate event information to relevant departments and staff
  • Ensure accurate event set-ups with Operations Director and/or Operations Supervisor
  • Communicate with Department Heads regarding specific needs and information for each event
  • Prepare and distribute Event Data Sheets to all staff and departments in a timely manner
  • Prepare post-event reports for all coordinated events
  • Coordinate multiple events simultaneously
  • Complete tasks such as answering phone calls, emails, and filing paperwork
  • Work closely with Event Manager to adjust plans and events based on client feedback and needs
  • Serve as liaison between facility and tenants
  • Explain policies and procedures to tenants and the public
  • Receive and respond to complaints from tenants and the public or refer them to the Event Manager
  • Update show calendars on a periodic basis
  • Interact with coworkers in a courteous and professional manner
  • Ensure event areas are set up in accordance with lessee agreements, safety, fire, and health codes
  • Notify Event Manager of equipment in need of repair or replacement
  • Inspect facilities to ensure they are being maintained properly for events
  • Work with other department directors on various tasks
  • Be aware of emergency alarms and equipment and follow established procedures in case of an emergency
  • Maintain a high degree of visibility and professionalism
Qualifications:
  • Experience with Microsoft Office products and CAD
  • Must be 18 years of age or older
  • High school diploma or equivalent GED
  • Two years of experience in a related field highly desirable
  • Possession of or ability to obtain a Texas driver's license

This is an event-based position with no minimum number of hours guaranteed. Work schedules are determined by event activity and availability sheet. Must be able to stand and walk for long periods of time, work a flexible schedule, and perceive the needs of facility tenants.
