Job Description

Bienvivir All-Inclusive Health is a community-based, patient-centered healthcare delivery system that advocates and promotes quality of life, optimum independence, dignity, and choices in a nurturing environment for frail seniors.

We are seeking a highly skilled Appointment Scheduler I to join our team. As a key member of our healthcare operations team, you will be responsible for the complex daily scheduling of diagnostic and subspecialty appointments in a manner that is fully integrated with day center operations.

Responsibilities:

  • Schedule all routine and non-routine appointments, diagnostic, imaging, procedures, and surgeries consistent with the participants' diagnosis and procedure request/physician's order, appropriate provider, time, and location utilizing automated scheduling system and enters notes/special instructions needed for scheduling in the electronic medical record.
  • Provide accurate, detailed information to the clinic staff regarding test preparations and any other directional information needs.
  • Communicate with clinic the need for prior authorization as needed. Obtain proper medical clearance and pre-surgical testing as needed.
  • Ensure that appointments are scheduled based on urgency, and that all physician orders are scheduled prior to the due date. Ensure appointments are set up two weeks in advance and participate in weekly meetings with designated staff to discuss and coordinate transportation and escorts for upcoming scheduled appointments.
  • Maintain current automated scheduling system(s) to create participant appointment matrix, list of unscheduled orders, scheduled appointments, and completed appointments.
  • Responsible for participating in weekly meetings with designated staff to discuss and coordinate transportation and escorts for the following week's appointments.
  • Responsible for double checking the physician order to ensure the Specialist's name and the specialty is the correct one.
  • Adhere to regulations regarding participant confidential information and HIPAA.
  • Maintain constant communication with the IDT related to appointment.
  • Ensure that accurate & timely entries are done daily using appropriate automated systems.
  • Prepare a variety of periodic and special reports that may require gathering of information from different sources, compiling data and arranging it into a proper format.
  • Provide coverage, as necessary, for other members of the department due to vacancies or absences to avoid backlogs and delays.
  • Complete projects and perform other duties as assigned by immediate supervisor, department manager or division chief.

Qualifications/Requirements:

  • High School Diploma or equivalent.
  • Associate Degree and/or certificate program preferred.
  • One to two years of medical clinic administrative or medical scheduling experience preferred.
  • Educated on and compliant with HIPAA regulations; maintains strict confidentiality of patient and client information.
  • Bilingual preferred (English/Spanish)
