As an Accounts Payable Specialist, your role will encompass the management and processing of vendor invoices and payments. You will be tasked with conducting quarterly reconciliations of vendor statements and ensuring accurate financial reporting of payables for the organization. Additionally, you will play a crucial role in driving the overall strategic initiatives of the company.

Key Responsibilities:
  • Prioritize safety in all operations, recognizing that accidents can be prevented.
  • Accurately code and enter all vendor invoices in a timely manner.
  • Engage with vendors to resolve any issues related to payments, credits, or account management changes.
  • Prepare quarterly and annual vendor statement reconciliations punctually.
  • Oversee and execute all month-end closing processes within the designated deadlines.
  • Collaborate with various financial roles and departments as needed.
  • Assist in managing the expense reporting system and document monthly credit card expenditures.
  • Identify and report capital expenses in accordance with accounting policies.
  • Streamline processes and implement automation where feasible.
  • Coordinate weekly cash flow updates with the controller.
  • Ensure compliance with all state and local tax regulations.
  • Develop efficient processes to enhance the accounting system's performance.
  • Support ERP Financial conversion efforts to unify financial reporting.
  • Provide necessary information for year-end audits.
  • Assist in managing accounts payable for new acquisitions.
  • Act as a backup for other corporate functions as required.
  • Prepare ad-hoc reports as needed.
  • Perform additional duties as assigned.
Qualifications:
  • Proven experience in Accounts Payable.
  • Familiarity with software such as QuickBooks, JP Morgan Chase, Expensify, and NetSuite.
  • Experience in identifying and implementing process improvements.
  • Proficient in Microsoft Office and Google Spreadsheets.
  • Strong interpersonal, organizational, and communication skills.
  • Demonstrated work ethic and ability to work collaboratively.
  • Willingness to work overtime and travel occasionally.
  • Excellent analytical and quantitative skills.
