At Havenwood of Minnetonka, we are seeking a dynamic and organized Staffing Coordinator to join our team. This pivotal role will be responsible for supporting our staffing needs by sourcing, screening, and coordinating candidates for various positions within the organization.

As a Staffing Coordinator, you will have the chance to work in a fast-paced environment and provide administrative, programmatic, and special project support to our Supervisor.

Responsibilities
  • Review tickler files daily, print off all items due, and assist DOHS in organizing and accomplishing each task, including employee training and resident requirements.
  • Create a monthly DOHS calendar with all required elements.
  • Perform audits as directed by DOHS and report audit results to DOHS and Executive Director.
  • Post notices for educational offerings.
  • Set up rooms for in-service meetings, including seating arrangements, overhead projectors, refreshments, coffee, etc.
  • Ensure all education is documented properly and coordinate with the Business Office Manager to ensure organized retention of training certificates.
  • Set up appointments for DOHS.
  • Coordinate and update staffing/schedules as directed by DOHS, scheduling candidate interviews and department orientation with DOHS.
  • Serve as primary administrative support person for the Director of Health Services.
  • Order office and medical supplies according to budget with approval of DOHS.
  • Create resident medical files and enter electronic health records information into the system upon admission.
  • Coordinate internal and external correspondence and publications.
  • Maintain the Assisted Living & Memory Care policy and procedure manuals.
  • Provide computer support to the Assisted Living and Memory Care.
  • Ensure all aspects of Care Conferences are scheduled and logged accordingly.
  • Support creating a culture where business decisions made in this position drive top-line revenue and occupancy.
  • Participate in staffing phone on-call rotation.
Requirements
  • A high school diploma or general education degree (GED) is required.
  • Minimum one year of related experience as an administrative assistant in a physician's office or similar position supporting a clinical setting is required.
  • Minimum one year working in assisted living or healthcare is preferred.
Qualifications
  • Proficiency in the English language enabling the employee to read, write, comprehend, and communicate simple instructions, correspondence, memos, etc.
  • Familiarity with Microsoft Office Suite products.
  • Excellent telephone communication skills.
  • Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.
  • Ability to compute simple math, including units of American money.
  • Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions.
  • Ability to deal with problems involving few concrete variables in standardized situations.
Salary Range

$20-$25 per hour, based on location and qualifications.
