Key Responsibilities

  • Calendar Management: Oversee the VP's calendar, prioritizing meetings and schedules. You will determine which engagements the VP attends and who may represent them when necessary.
  • Event Coordination: Maintain a comprehensive list of the VP's speaking engagements, collaborating closely with the communications team to ensure all content requirements are met for each event.
  • Meeting Organization: Assist in the planning and organization of meetings, including agenda preparation, venue selection, and technology setup based on participant needs. You may also create briefing documents and follow up on action items post-meeting.
  • Travel Coordination: Prepare detailed travel packs for international trips and significant domestic events, consolidating all relevant information and logistics.
  • Communication Support: Act as a proxy for the VP in communications and approvals, addressing general inquiries and directing routine matters to the appropriate parties.
  • Travel Arrangements: Manage travel logistics for the VP, ensuring optimal itineraries for scheduled meetings while handling expense reporting.
  • Special Projects: Provide analytical support for various executive projects, conducting research, analyzing data, and preparing comprehensive reports.
  • Corporate Event Support: Prepare itineraries and accompany the VP at major corporate events, offering executive support as needed.
  • Confidentiality: Handle sensitive and confidential information with professionalism and discretion.

Collaboration and Teamwork

You will work alongside a dynamic and experienced team dedicated to driving business growth through innovative technology solutions. Your role will involve representing the team's interests across various business units and collaborating with Cisco executives and partners.

Qualifications

  • 4+ years of experience in an administrative capacity, with at least 2 years supporting a senior executive.
  • Proven expertise in meeting planning and travel coordination.
  • Advanced proficiency in Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.

Preferred Skills

  • Experience in the technology sector, particularly with Cisco.
  • Outstanding verbal and written communication abilities.
  • Strong collaborative skills and a commitment to continuous improvement.
  • Organizational proficiency and experience with sophisticated calendar management.
  • Associate's degree or higher is preferred.
