Job Overview

The Billing Specialist plays a crucial role in the preparation, management, and execution of attorney billing processes.

Key Responsibilities

- Compile and manage a substantial volume of attorney invoices for clients on a monthly basis.

- Review and amend pre-bills according to requests from attorneys and support staff.

- Allocate retainer or on-account funds as instructed by attorneys and in accordance with Firm policies.

- Process write-offs in line with Firm guidelines.

- Handle complex billing scenarios, including multiple discounts by matter and split party billing, ensuring timely preparation of electronic invoices.

- Submit invoices electronically and assist in troubleshooting any arising issues.

- Verify the accuracy of billing documentation as required.

- Conduct research and respond promptly to both internal and external inquiries regarding billing matters.

- Identify and rectify billing discrepancies.

- Develop billing schedules and various analyses as needed.

- Communicate effectively with attorneys, support staff, and clients.

- Distribute monthly reports to partners.

- Review and update comments for reports shared with the Finance Committee and Partners.

- Participate in Partner meetings and weekly management discussions to address unbilled matters, on-account issues, and e-Billing concerns.

- Collaborate with Collections staff to assist with accounts receivable issues, aiming to minimize credit balances.

- Maintain confidentiality regarding client and Firm matters.

- Provide backup support as necessary.

- Assist with special projects as required.

- Perform additional duties as assigned.

Required Skills

- Strong verbal and written communication skills.

- Ability to work independently and collaboratively within teams.

- Proficient in using an accounting calculator.

- Advanced knowledge of MS Office Suite, especially Excel.

- Detail-oriented with strong organizational skills.

- High degree of accuracy in work.

- Excellent analytical and problem-solving abilities.

- Capable of organizing, prioritizing, planning, and multitasking effectively in a high-pressure environment.

- Adaptable to various work situations to achieve desired outcomes.

- Willingness to work additional hours as needed.

Required Experience

- 1 to 2 years of billing experience in a large law firm is required.

Preferred Experience

- A minimum of 1 to 2 years of finance, accounting, or e-Billing experience in a law firm is preferred.

- Familiarity with the 3E billing system or a comparable billing program is preferred.

Required Education

- High School diploma or GED equivalent.

Preferred Education

- Bachelor's degree from a four-year college or university is preferred, or an equivalent combination of education and experience.

Salary Information

The estimated base salary range for this position is $75,000 to $95,000. The actual salary offered will depend on various factors, including the qualifications of the individual applicant, years of relevant experience, education level, certifications, and location. This role is non-exempt, meaning it is eligible for overtime pay.
