Overview


The Distribution Customer Service Representative plays a crucial role in ensuring exceptional customer experience by providing prompt, courteous, and effective support. Key responsibilities include responding to inquiries, processing orders and receipts, and handling complaints in a professional manner.


Main Responsibilities:



  • Interact with customers in a positive and productive way, addressing all inquiries and complaints related to work orders, invoices, shipments, inventory counts, and other matters.
  • Process and input all customer orders efficiently and accurately.
  • Generate stock reports to verify product availability and ensure timely delivery.
  • Produce necessary paperwork and information required for customer work orders.
  • Coordinate special and last-minute shipping requests with the Traffic and Operations Departments, expediting orders as needed.
  • Follow up with other departments to guarantee service standards are met.
  • Verify computer-generated invoices to ensure proper accounting.
  • Prepare shipping and tracing information for customers as required.
  • Maintain accurate damage records and back-order logs.
  • Communicate customer feedback to management, highlighting any signs of dissatisfaction.
  • Serve as a liaison between the warehouse and customer for account administration and between the office and customers regarding invoicing and credit changes.
  • Oversee all paperwork associated with orders and maintain corresponding files.
  • Update and maintain a current procedure manual detailing processing requirements for each account.

Qualifications and Requirements:



  • H.S. diploma or equivalent is required.
  • Strong computer knowledge, including proficiency in MS Office applications.
  • Familiarity with 10-key navigation.
  • Experience with shipping software systems, such as UPS and Federal Express.
  • Excellent oral and written communication skills.
  • Exceptional customer service skills.
  • Ability to work in varying facility conditions.
  • Availability to work irregular or extended hours, including nights, weekends, and holidays as needed.

Compensation:


Estimated salary range: $45,000 - $60,000 per year, depending on location and experience.
