Job Description

At Mike Hostilo Law, we are committed to delivering exceptional client care and achieving the best possible outcomes for our clients. To achieve this, we are seeking a highly skilled and detail-oriented Case Manager to join our team.

The Case Manager will serve as the primary point of contact for assigned clients, overseeing the general progression of a legal case to ensure all relevant elements are collected, maintained, and organized. This role requires strong administrative skills, attention to detail, and excellent communication skills.

Key Responsibilities:

  • Proactively make weekly follow-up calls to clients regarding case status updates.
  • Answer or promptly return all incoming client calls, addressing any concerns presented by clients and seeking answers from the legal team, ensuring not to provide direct legal advice to clients.

Case Documentation:

  • Collaborate with clients to gather all related bills, records, and documents regarding their case.
  • Prepare each case for settlement negotiations, documenting all relevant information in preparation for paralegal and attorney review.
  • Generate and send required correspondence, such as requests for bills and records, MedPay letters, and Subrogation letters, etc. Prepare demand letters for attorney review, proactively communicating any information pertinent in the course of the attorney negotiation process.

Coordination of Case Management Processes:

  • Institute effective time management and organization strategies to manage assigned caseload and coordinate resources.
  • Communicate with team members and/or other departments regarding a particular case (or cases) in order to gather and share pertinent information in a timely manner.
  • Interact with medical providers, adjusters, and other third parties related to assigned case(s) in order to communicate proactively and gather relevant information that informs next steps.
  • Draft case-specific courses of action in concert with Associate Attorneys to address potential conflicts or concerns with clients.
  • Support the legal team and other team members with other matters related to serving our clients, as needed.

Requirements:

  • High School diploma or equivalent required, Associate's degree preferred.
  • Bilingual, Spanish speaking is preferred.
  • Two years' relevant experience in a professional, customer-centric role required; professional experience in a legal environment preferred.
  • Demonstrated ability to review and understand basic medical records and terminology required.
  • Proficiency in Microsoft Office suite of tools required; knowledge of Case Management software (e.g., Filevine) preferred. Familiarity with auto insurance claims process preferred.
  • Demonstrates attention to detail in all tasks performed, with a focus on documenting all relevant aspects of a case that will inform the attorney's actions.
  • Proactively communicates proficiently and collaboratively both verbally and in writing with clients, internal team members, and third parties.
  • Maintains exceptionally high standards of integrity and confidentiality.
  • Takes ownership of work and demonstrates commitment to quality in every task performed.
