Senior Administrative Associate

We are seeking an experienced professional to support the executive and clinical leadership team in the Department of Surgery at Boston Children's Hospital.

Key Responsibilities:
  • Coordinate the annual department report with the Chief, ensuring timely completion and accurate representation of departmental activities.
  • Organize Harvard Surgery Research Day, managing logistics and coordinating with stakeholders.
  • Facilitate meetings between faculty and the Chief, maintaining effective communication channels.
  • Maintain current and up-to-date CVs for departmental staff.
  • Manage patient calls, clinical scheduling, record keeping, and other administrative tasks related to the Chief's clinic appointments.
  • Plan and execute department events, including reserving meeting locations, ordering supplies and services, and preparing agendas.
  • Oversee daily administrative operations of the department, ensuring seamless day-to-day functioning.
  • Monitor and maintain department recordkeeping systems, guaranteeing accuracy and compliance.
  • Reconcile budget reports and department expenses, providing transparent financial management.
  • Coordinate administration of departmental fellowship and/or residency programs, fostering a supportive learning environment.
  • Monitor and maintain department supply inventory and computer equipment, ensuring optimal performance and efficiency.
Requirements:
  1. A high school diploma or equivalent is required; completion of two years of occupationally specific education or an Associate's degree is preferred.
  2. A minimum of two years of administrative work experience is required.
  3. The ability to communicate effectively both orally and in writing, and provide empathy in difficult interpersonal situations is essential.
Compensation and Benefits:

Boston Children's Hospital offers competitive compensation, including an estimated $65,000 - $85,000 per year, and unmatched benefits, such as flexible schedules, affordable health insurance, child care subsidies, generous time off, a 403(b) Retirement Savings plan, Pension, Tuition reimbursement, cell phone discounts, and discounted T-passes.
