Role Summary:
The Administrative Assistant plays a crucial role in supporting our management team and staff by facilitating daily office operations and overseeing general administrative tasks. Key responsibilities include organizing meetings, preparing documentation, and maintaining efficient filing systems.
Key Responsibilities:
- Provide exemplary customer service by responding to phone calls and emails, addressing property-related inquiries.
- Assist unit owners and visitors with their requests.
- Facilitate the processing of purchase and lease applications.
- Manage guest check-ins at the clubhouse.
- Oversee vendor check-ins at the property.
- Update directories and maintain accurate owner/tenant information.
- Utilize computer systems for data entry and information retrieval.
- Complete tasks as assigned by management, demonstrating strong verbal and listening skills.
- Ensure a clean and organized workspace while assisting with general tasks.
- Handle mail distribution and courier requests.
- Be available to work on weekends and holidays as necessary.
Requirements:
Work Hours: Flexible hours with weekend availability required.
Compensation: Salary is commensurate with experience, starting at $18.00 per hour.
Qualifications:
- High school diploma or GED equivalent is required.
- Exceptional interpersonal skills.
- Experience in Property Management, Condo/HOA Law, or Real Estate is preferred.
- Familiarity with Architectural Modification processes.
- Strong background in administrative support.
- Knowledge of the hospitality industry is advantageous.
- Commitment to confidentiality.
- Effective time management abilities.
Language Skills:
Bilingual candidates are highly desirable.
Additional Qualifications:
- Minimum of two years of customer service experience in the hospitality sector or a related field.
- Excellent oral and written communication skills.
- Empathetic and friendly phone demeanor.
- Proficient in computer hardware and software.
- Outstanding organizational skills with the ability to multitask.
- Physical capability to stand and move throughout the office while performing essential job functions.
