Our Operations team is a cohesive unit that facilitates all US trade shows and events by managing on-site official contractors, venues, catering, accommodations, transportation, security, health and safety protocols, floor layouts, and the production of exhibitor manuals. We coordinate essential on-site requirements such as audiovisual setups, catering services, overall event decoration, signage, move-in and move-out schedules, construction of management booths, and special events as needed. About the Role
The Event Operations Supervisor will oversee pre-event planning and on-site management of operational elements for assigned shows. This role involves project management and responsibility for segments of event budgets. The ideal candidate is proactive and possesses exceptional communication skills. Building relationships with both internal stakeholders and external customers and vendors is crucial.
Key Responsibilities
- Overseeing operational elements for assigned events while delegating tasks and responsibilities to other operational staff.
- Ensuring all logistics for the event are communicated to vendors and other internal teams (marketing, sales, conference, etc.).
- Supervising all operational deliverables and serving as a point of contact for the event team regarding operational tasks.
- Leading, managing, and delivering your event operations in collaboration with show teams, venues, and suppliers.
- Communicating the detailed delivery plan with clear accountability prior to the event to ensure exceptional on-site execution.
- Organizing post-event debriefs to continuously enhance event quality.
- Managing overall show operational budgets and providing accurate forecasts to the Event Director and finance team.
- Maintaining productive working relationships with show teams, vendors, venues, etc.
- Prior experience in a relevant event operations role.
- A proven track record of delivering operational success in B2B or B2C environments.
- Ability to work within a vendor management web-based system.
- Excellent communication and organizational skills.
- Capability to organize and manage multiple projects simultaneously.
- Willingness to travel and attend various trade shows, conferences, and site visits.
- Demonstrated ability to manage all aspects of events, actively listening to customers (internal/external) and striving to exceed expectations while finding solutions.
