Job Overview

Position Summary:

A Mortgage Post-Closing Coordinator is responsible for overseeing the workflow of post-closing and secondary marketing functions. This role involves managing relationships with investors and ensuring that mortgage loans are sold promptly. The coordinator collaborates with in-house servicing personnel as necessary for loans retained for servicing. This position requires close interaction with sales teams, underwriters, processors, closers, and shippers to gather necessary documentation for loan delivery, servicing, or purchase.

The Mortgage Post-Closing Coordinator is typically an entry-level or intermediate professional with limited prior experience in the field. They will learn to address problems of limited scope and complexity, engaging in developmental assignments that are initially routine and require minimal judgment and decision-making.

In-office attendance is mandatory at our designated location. Remote work is not available for this role.

Key Responsibilities:

  • Monitor the status of loans submitted to investors to facilitate timely purchases at the negotiated price.
  • Track and oversee all commitments with Fannie Mae and Freddie Mac to ensure prompt acquisition.
  • Receive and manage all loan suspense correspondence from investors.
  • Collaborate with the closing department, post-closing loan shippers, underwriting department, and loan officers as needed to satisfy conditions or requested exceptions for investors prior to loan purchase.
  • Prepare daily reports on loan suspension statuses for management review.
  • Retrieve purchase advices daily from investors and distribute them to relevant parties.
  • Generate and send notices to borrowers for all Seller/Servicer Transfers.
  • Transfer all Flood Certificates, Insurance, and FHA Holdings on loans sold to other investors.
  • Complete MIN Transfers in MERS once loans are acquired by investors.
  • Prepare loan data for entry into the servicing system if retained and assist with any data import inquiries or discrepancies.
  • Facilitate Ginnie Pool Processing, including the simultaneous release of collateral, tracking initial and final certifications, and shipment of trailing documents.
  • Respond to USDA requests for information to obtain LNG.
  • Obtain LNG insuring documentation for USDA loans.
  • Acquire LGC insuring documentation for VA loans.
  • Enter loan-level Home Mortgage Disclosure Act (HMDA) reporting information for compliance purposes.
  • Receive and review trailing documents, then scan and prepare them for delivery to the appropriate investor or document custodian.
  • Monitor reports for outstanding trailing documents and collaborate with relevant parties to obtain them.
  • Follow up with appropriate parties to rectify any deficiencies in final trailing documents as identified by investors.
  • Prepare and/or electronically deliver document packages to third-party auditors.
  • Process incoming Hazard Insurance mail and follow up as necessary.
  • Maintain knowledge of all systems supporting the closing, shipping, delivery, and purchase of loans.
  • Develop and maintain positive working relationships with internal and external customers, including Mortgage Loan Originators, Processors, Underwriters, Closers, and external vendors.
  • Maintain a working knowledge of investor requirements and our loan origination system.
  • Assist team members as needed during peak volume periods and staff absences.
  • Exhibit a willingness to take on additional responsibilities, duties, or projects as they arise.

Qualifications:

  • High school diploma or equivalent required.
  • Proficient computer skills; knowledge of Microsoft Office (Word, Excel, Outlook) and Internet Browsers.
  • Ability to operate office equipment including computers, telephones, voicemail, copy machines, and scanners.
  • Familiarity with modern office practices and procedures; accurate grammar, spelling, punctuation, and Standard English usage; business correspondence formats, record keeping, and filing methods; basic math calculations.
  • Good judgment and the ability to handle confidential information are essential.
  • Strong written, verbal, and interpersonal communication skills, with the ability to use email, telephone, and other communication tools effectively.
  • Ability to independently plan, prioritize, organize, and complete work efficiently, with attention to detail.
  • Ability to interpret and follow a variety of instructions in written, oral, diagram, or schedule form and complete assignments without detailed directions.
  • Regular and punctual attendance is required.
  • Flexibility to work overtime if necessary.
  • Ability to work under pressure with a positive attitude.
  • Prolonged periods of sitting at a desk and working on a computer are expected.

Preferred Qualifications:

  • Minimum of 2 years prior banking or mortgage experience is preferred.
  • Experience in exception clearing or processing and closing is advantageous.
  • Familiarity with conventional and government loan origination and closing documents; experience in a paperless environment; knowledge of MERS online system activities; and understanding of loan collateral delivery processes.
  • Knowledge of loan origination systems, such as Encompass, is preferred.
  • Understanding the importance of good working relationships for success in this organization.
