Job Summary

The Staff Specialist plays a critical role in supporting departmental regulatory training compliance, fiscal responsibilities, and business processes. This position requires strong organizational and communication skills to coordinate and accomplish objectives.

Key ResponsibilitiesTraining
  • Plan, coordinate, and administer training completion and compliance activities, including implementing procedures, processes, services, and systems.
  • Train employees in proper methods and procedures, ensuring correctness of training completions and documentation.
  • Monitor and provide the status of employee compliance with SOP, client, functional group, and position training, communicating with staff, management, and leadership.
  • Prepare and provide training and qualification documentation for audit reviews.
  • Develop, coordinate, and advise staff regarding training programs, preparing training metrics and compliance reports.
Financial
  • Support financial management related to internal business processes, including ordering client technology purchases and repairs, monitoring backlogs, equipment receipt, and payments.
  • Initiate payment for monthly client wireless bills, monitor the process for timely approval and payment.
  • Perform procurement card purchases and reconciliations, reimbursements, training registrations, conference attendance, and travel arrangements.
  • Monitor, verify, and reconcile expenditure of budgeted funds as appropriate.
Administrative
  • Oversee and manage events and large meetings for the group, establishing and managing central calendar announcements and distribution lists.
  • Coordinate public, social events, and other related administrative programs, developing and coordinating new ideas and concepts for program themes, materials, and resources.
  • Provide meeting, documentation, and messaging support to Leadership Team.
Requirements
  • Able to provide guidance and direction to staff, including setting standards and monitoring completion and performance.
  • Skills using logic and reasoning to identify the strengths and weaknesses of alternative solutions to problems.
  • Skills evaluating program performance, summarizing findings, communicating results, and forming an action plan.
  • Knowledge of business and management principles involved in strategic planning, resource allocation, human resources modeling, leadership technique, and coordination of people and resources.

Work requires knowledge of basic mathematical, research, and communications principles normally acquired through two years of postsecondary education. Four years of clerical or research experience is preferred, or a bachelor's degree in a field of study directly related to the specific position may be substituted for the education and experience requirement.
