Maintenance Coordinator I

Key Responsibilities:

• Manage the day-to-day administrative functions for the Maintenance Department, ensuring seamless operations and efficient workflow.

• Prepare and present PowerPoint presentations and other visual aids to communicate maintenance schedules, work orders, and other critical information.

• Maintain accurate and up-to-date records of maintenance work orders, documents, and data entry into the work order system.

• Respond to a high volume of requests for report creation, revision, and data extraction from databases, ensuring timely and accurate delivery.

• Coordinate the distribution of maintenance schedules and work orders to department personnel, ensuring effective communication and collaboration.

• Procure materials and supplies from MRO stores as needed, expediting the flow of materials and meeting maintenance schedules.

• Arrange for delivery, assembly, or distribution of supplies or parts to meet maintenance demands and schedules.

• Collaborate with managers, supervisors, planners/schedulers, and other personnel to assess progress, discuss needed changes, and ensure alignment with department goals.

• Examine documents, materials, or products to assess completeness, accuracy, and conformance to standards and specifications.

• Record and maintain accurate maintenance data for use by department personnel, ensuring informed decision-making and effective resource allocation.

• Calculate labor and material requirements using calculators or computers, ensuring accurate estimates and resource planning.

• Compile and prepare documentation related to personnel schedules, purchase, maintenance, or repair orders, and other critical information.

• Maintain organized files, including maintenance records and cost reports, ensuring easy access and retrieval of information.

• Must be able to work in a variety of areas, including plant and office environments, and adapt to changing priorities and demands.

• Perform all other duties and special projects as assigned by the department supervisor, ensuring flexibility and a commitment to excellence.

Education and/or Training: High school degree or equivalent required.

Relevant Work Experience:

• Minimum of four (4) years of administrative background, preferably in a manufacturing setting, with a strong focus on maintenance and operations.

• Preferred experience working with SAP and proficiency in Microsoft Office, including Outlook, Word, Excel, and PowerPoint.

• Strong computer skills, self-directed, and detail-oriented, with excellent problem-solving, teamwork, and communication skills.
