Job Description

We are seeking a highly skilled and experienced Legal Assistant to join our dynamic team at a reputable Law Firm in Oakland County. The successful candidate will be responsible for providing exceptional support to our litigation professionals, ensuring the delivery of best-in-class legal services to our corporate clients.

Key Responsibilities:

  • Exercise independent judgment in determining priority levels of all work assigned on a daily basis, ensuring timely completion of high-priority tasks.
  • Provide administrative support for litigation matters, including typing, transcribing, revising, modifying, and proofreading correspondence, memoranda, notes, outlines, legal documents, charts, forms, and other materials.
  • Responsible for electronic and non-electronic filings with various courts (state and federal) and tribunals, ensuring compliance with relevant rules and procedures.
  • Process conflict clearance requests for new and existing clients and matters into our business intake system, preparing and submitting conflict check screening forms and new matter request forms as required.
  • Maintain and coordinate attorneys' calendars, communicate with attorneys regarding scheduling, and make travel arrangements as needed.
  • Gather pertinent materials needed for assignments from files, file share services, and internal departments, downloading court filings, transcripts, records, document productions, and saving to our document management system.
  • Review and route incoming mail, prepare and process outgoing mail, and coordinate activities with our Office Services team as needed.
  • Answer and screen telephone calls, utilizing judgment regarding when to contact attorneys or others concerning urgent calls.
  • Enter and/or release attorneys' time, maintain a list of current billing numbers for assigned timekeepers, and assist billing coordinators with billing/e-billing questions and procedures.
  • Prepare and submit invoices and expense reports, maintaining and organizing digital and hard files as requested.
  • Assist other administrative assistants with work overflow and provide coverage for other workgroups as needed.
  • Perform other responsibilities and tasks as requested by management.

Requirements:

  • High school diploma or GED required; with at least two years of post-high school education strongly preferred.
  • Three to five years of legal support experience, with strong litigation support skills, required. Experience supporting additional legal practice areas is a plus.
  • Proficient in state and federal court electronic filing procedures, including MiFile (MI) and PACER. Knowledge of state and federal court rules regarding discovery, motion practice, and general procedures helpful.
  • Proficiency in Microsoft Office Suite, including Word (styles and tables), Outlook, Excel, and PowerPoint. Knowledge of business management systems such as NetDocuments, Elegrity, File Trail, and Chrome River is helpful. Ability to use a redlining tool.
  • Excellent written (including via email) and verbal communication skills, including grammar, spelling, and proofreading.
  • High level of organizational skills, with ability to multi-task and independently meet deadlines.
  • Positive attitude and ability to deliver superior, professional services to all internal and external clients.
  • Ability to maintain a high degree of discretion and confidentiality regarding client information, documents, and conversations.
  • Ability to work independently, as part of a team, and effectively with individuals at all levels of the organization in a diverse work environment.
  • Flexibility to work overtime when required.
  • Typing speed of 55 WPM or greater.
