Job Summary

San Jose State University is seeking a highly skilled Evaluation Specialist to join our Graduate Admissions and Program Evaluations team. As a key member of our team, you will be responsible for coordinating and executing the communication plan and evaluation of all new and continuing graduate students, including blended program students, attempting to complete Title 5, CSU and University graduate admissions and degree requirements.

Key Responsibilities
  • Academic Record Evaluation: Assess and evaluate academic records of graduate international and domestic applicants for admission to the university, including the support of blended programs.
  • Credential Evaluation: Evaluate and certify complex credentials and transcripts for international and domestic applicants; process credentials based on established graduation and admissions guidelines and policies; ensure authenticity of documents; evaluate credentials for graduate programs.
  • Admissions Eligibility: Review and verify that appropriate documents have been submitted by the applicant to determine the applicant's admission eligibility under the various Chancellor's Office and campus regulations and procedures.
  • Graduation Evaluation: Evaluate and assess eligibility for advancement to candidacy and graduation.
  • Transfer Credit Evaluation: Prepare and transmit individualized evaluations of transfer credit; advise on fulfillment of remaining requirements for graduation; perform graduation evaluation.
  • Training and Presentations: Provide training and instructional presentations on international evaluation.
  • Student Record Maintenance: Maintain computerized student files, applications and credentials; verify, add, delete and correct permanent student records.
  • Communications: Inform students of admissions/graduation acceptance/denial; generate necessary correspondence.
  • Admissions Processing: Process and review applicants for clear and conditional admissions.
  • Visa Processing: Determine eligibility and process documents, I-20 visas and admissions letters for admitted students.
  • SEVIS Compliance: Serve as designated school official (DSO) for SEVIS reporting and compliance processes for graduate students.
  • Collaboration: Work in collaboration with other campus units including International Student Advising (ISA) and the SEVIS Coordinator to ensure that applicants are processed accurately and in a timely manner.
  • Policy Interpretation: Interpret department policies; recommend change to policies and/or procedures to supervisor.
Knowledge, Skills & Abilities
  • International Admissions Knowledge: Knowledge of methods, procedures, practices and activities of international admissions.
  • Policy Interpretation: Ability to interpret and apply program rules and regulations.
  • Operational Knowledge: Ability to rapidly acquire a general knowledge of the overall operation, functions and programs of the campus.
  • Technical Skills: Knowledge of technology and software applications such as: word processing, spreadsheet, database management, and communication tools.
  • Attention to Detail: Ability to perform accurately in a detail-oriented environment; Plan and execute multiple work priorities, organize and plan work and projects; Show attention to detail, accuracy, and thoroughness.
  • Academic Year Calendar: Ability to maintain an understanding of the academic year calendar and processing cycles that affect the workflow of the Graduate Admissions and Program Evaluations unit and the Enrollment Services department.
  • Problem-Solving: Ability to identify and determine cause of problems; develop and present recommendations for improvement of established processes and practices.
  • Counseling Skills: Ability to advise students individually and in groups on complex student-related matters.
  • Communication Skills: Ability to determine appropriate courses of action and proper techniques to utilize while engaged with individuals in personal interactions.
  • Behavioral Knowledge: Thorough knowledge of the principles of individual and group behavior; general knowledge of individual counseling techniques.
  • Productivity: Ability to adapt and maximize productivity through use of appropriate tools (e.g., student database programs, imaging equipment); planned training and performance initiatives; research, adapt, and develop resources that create timely and efficient workflow.
  • Analysis: Ability to analyze complex situations accurately and adopt effective courses of action.
  • Interpersonal Skills: Ability to interact with a variety of internal partners from Academic and Student Affairs to the Office of the President, communicating effectively and professionally.
Required Qualifications
  • Education: Equivalent to graduation from a four-year college or university in a related field, including or supplemented by upper division or graduate coursework in counseling techniques, interviewing, and conflict resolution where such are job-related.
  • Experience: Three years of progressively responsible professional student services work experience. A master's degree in Counseling, Clinical Psychology, Social Work, or a directly related field may be substituted for one year of experience. A doctorate degree and the appropriate internship or clinical training in counseling or guidance may be substituted for the three years of experience for positions with a major responsibility for professional career or personal counseling.
Preferred Qualifications
  • Master's Degree: Master's degree in Higher Education, Counseling, Behavioral Sciences, Organizational Change, or related field.
  • Graduate Admissions Experience: 1 year of full-time experience in a graduate admissions or records office working directly with graduate students and evaluations.
  • International Student Experience: 1 year of direct exposure working with international students, international evaluations, etc.
  • Student Advising Experience: 1 year of direct exposure advising college students with excellent verbal and written communication skills.
