Position Overview
The Healthcare Administrative Assistant plays a crucial role in managing various clinical and administrative responsibilities associated with patient intake, evaluations, and scheduling. This position demands a commitment to confidentiality, professionalism, and ethical standards, ensuring a focus on patient access and satisfaction while maintaining the accuracy of information.
Key Responsibilities
- Utilizes computerized scheduling systems to arrange and modify patient appointments and diagnostic tests as necessary.
- Records and monitors vital signs of patients.
- Conducts basic diagnostic tests and collects specimens as required.
- Observes and reports any changes in patient conditions to the appropriate healthcare providers.
- Documents all aspects of patient care provided.
- Manages medical supplies and equipment, including inventory control, cleaning, and maintenance.
- Processes payments and co-pays during patient registration.
- May reconcile cash receipts and co-payments at the end of each shift.
- Communicates effectively with insurance companies, external agencies, patients, and healthcare team members.
- Facilitates communication with referring facilities regarding patient transfers.
- Coordinates hospital admissions as needed.
- Handles incoming calls, providing patient information requests while adhering to regulatory guidelines and facility policies.
- Maintains cleanliness and organization of examination areas.
- Conducts patient registration, check-out procedures, pre-certifications, and appointment confirmations.
- Retrieves medical records as requested by authorized personnel, ensuring compliance with release of information protocols.
- Files and organizes new and returned records according to established procedures, identifying and documenting any missing records.
- Enters data from various sources into electronic databases, verifying accuracy through printouts and reports.
- Locates and prepares records for archival or destruction in accordance with established policies.
- Assists in conducting patient assessments and treatments under the supervision of licensed healthcare professionals.
- Welcomes patients upon arrival and provides necessary information.
- Prepares patients for medical procedures as required.
Qualifications
- High school diploma or General Equivalency Diploma (GED) preferred.
- No prior experience necessary.
- ABR-OE credential from the American Association of Medical Assistants (AAMA) required within a specified timeframe after gaining relevant experience.
- BLS certification as a Basic Life Support Healthcare Provider required shortly after employment.
Skills and Attributes

- Ability to work independently with minimal supervision.
- Capable of functioning effectively in a high-pressure environment.
