Position Overview

The Grants & Project Specialist (GPS) is responsible for overseeing and executing all phases of grant funding from inception to completion utilizing a grants management system. The GPS guarantees that all grant obligations are met and reported accurately. They develop procedures that ensure the implementation remains on schedule throughout the grant lifecycle, including pre-award, award, and post-award phases. The GPS will assist in organizing, managing, and planning intricate grant-funded initiatives for the organization.

Key Responsibilities

  1. Formulate strategies for acquiring new grants.
  2. Create compelling and persuasive applications, proposals, and reports for funding.
  3. Meet all application, renewal, and reporting obligations.
  4. Ensure adherence to regulations, comply with grantor requirements, maintain communication with grantors, and evaluate the effectiveness of funded programs and projects.
  5. Establish governance for funded projects and structured project management.
  6. Serve as the Project Management Officer as necessary.
  7. Develop and implement standards and templates.
  8. Gather relevant data on grant status and outcomes for stakeholder reporting.
  9. Coordinate projects and ensure effective communication with stakeholders.
  10. Oversee the quality review process.
  11. Support the creation and maintenance of project plans.
  12. Establish and update a repository for project documentation.
  13. Assist in conducting cost analyses and estimating project expenses.
  14. Help prepare and implement budgets based on estimates.
  15. Conduct risk assessments, report identified risks to management, and provide recommendations for risk mitigation, including project termination if necessary.
  16. Address inquiries, concerns, and complaints throughout the project lifecycle.
  17. Assist in developing and maintaining professional community partnerships.
  18. Collaborate with assigned PMOs to provide necessary training and information to promote and advocate for new projects, programs, and systems.
  19. Ensure compliance with federal, state, local, industry, contractual, and organizational regulations, standards, specifications, and best practices.
  20. Support other non-grant related projects as assigned.
  21. Perform additional related duties as required.
