Property Management Assistant for a Real Estate Development Company

Treehouse Partners is a prominent real estate development and property management organization with a varied portfolio that includes dining establishments, commercial office spaces, multi-family residences, luxury homes, and undeveloped land. As the company continues to grow, they are in search of a meticulous and proactive Assistant Property Manager to oversee the daily functions of their property portfolio. This position reports directly to the Asset Manager and encompasses project management, coordination of a maintenance team, supervision of film shoots across various properties, and management of a short-term rental property portfolio.
This position is based in downtown Los Angeles and requires some local travel.
Key Responsibilities:
- Establish daily operational expectations for both short-term and long-term rental properties.
- Lead property management and maintenance teams to enhance the value of various assets, assisting the Asset Manager with daily operations and scheduling as necessary.
- Address building emergencies, including after-hours situations.
- Organize routine and emergency maintenance for properties, which may involve landscaping, electrical work, plumbing, HVAC, and more.
- Coordinate, bid, negotiate, and supervise capital improvement projects and third-party service contracts, ensuring optimal performance, cost-effectiveness, and adherence to company policies and standards.
- Ensure appropriate insurance coverage is secured for special projects.
- Act as the primary contact for short-term rental properties, addressing guest inquiries, coordinating repairs and maintenance, and managing check-in and check-out processes.
- Maintain an inventory of all items within the portfolio.
- Enforce the terms and conditions of lease agreements, managing rent collection and lease administration.
- Oversee the operational and financial performance of properties to ensure that goals and KPIs are achieved, analyzing monthly financials, operational analyses, and activity reports from all properties, and sharing insights with the Asset Manager.
Qualifications:
- Minimum of 2 years of experience in property management.
- Bachelor's degree is preferred.
- Detail-oriented with outstanding organizational, time management, and prioritization abilities.
- Ability to maintain composure under pressure and adapt swiftly to changes in a dynamic environment.
- Capability to work independently as well as collaboratively within a team.
- Excellent written and verbal communication skills.
- General knowledge of maintenance, repairs, and property management.
- Proficient in basic administrative office and technological skills (MS Office, Google Workspace, etc.).
- Quick learner of new technological programs and procedures.
- Willingness to work outside of traditional office hours.
- Must possess a valid driver's license and have access to a personal vehicle for local travel.
