Job Overview

The Internal Medicine Client Services Representative plays a crucial role in delivering exceptional service to both existing and prospective clients, as well as veterinarians referring to the Internal Medicine division.

Key Responsibilities:

  • Provide outstanding customer service to clients and referring veterinarians.
  • Facilitate client check-ins, create and maintain medical records, schedule appointments, and manage financial transactions.
  • Collaborate effectively with internal teams and external clients to address inquiries and resolve concerns.
  • Accurately gather consult and referral details from veterinarians.
  • Handle multiple incoming phone lines while maintaining a high level of attention to detail.
  • Establish and nurture professional relationships with departmental staff and fellow Client Services Representatives.

Additional Duties:

  • Perform other related tasks as assigned.

Qualifications:

Minimum Education and Experience: A high school diploma or equivalent, coupled with at least one year of relevant office experience, or an equivalent combination of education and experience.

Essential Skills:

  • Proficiency in MS Office and/or Google Apps, along with familiarity with email, fax, and copy machines.
  • Strong verbal and written communication abilities.
  • Excellent organizational skills and capacity to manage multiple tasks simultaneously.
  • Exceptional customer service aptitude and the ability to engage professionally with clients and colleagues in high-pressure situations.
  • Ability to interpret guidelines and assess client needs to identify urgent situations.
  • High attention to detail and capability to manage several incoming calls while assisting clients in person.
  • Emotional intelligence and the ability to empathize with clients in challenging circumstances.
  • Physical capability to lift up to 30 pounds, with or without reasonable accommodations.

Preferred Qualifications:

  • Prior experience in client services within a veterinary or medical environment is advantageous.

Licensing:

A valid driver's license is required.
