Position Overview:


The Philadelphia office of Kaufman Dolowich, a highly regarded firm recognized as one of the "Best Companies to Work For" among U.S. law firms, is in search of candidates with a minimum of 4+ years of experience as a Legal Support Specialist.

This role is integral to our expanding, dynamic firm, which boasts over 200 attorneys nationwide.

Key Responsibilities:
The Legal Support Specialist will provide essential assistance to designated attorneys and offer support to other attorneys as needed. This position demands a high level of confidentiality.

- Prepare, edit, and proofread a variety of legal documents, including correspondence, agreements, and pleadings.

- Manage and assist with complex document production tasks, including Bates Stamping.

- Draft straightforward pleadings and correspondence.

- Prepare court filings, including making copies for filing and service copies, and preparing attorney service order slips.

- File documents with various courts, both traditional and electronic.


- Prepare documents for mandatory electronic filing for State and Federal courts, including creating and converting PDF files to searchable documents and bookmarking all exhibits.

- Create Tables of Contents and Tables of Authorities using Word's table functions with precision.

- E-file in Federal courts and Court of Appeals.

- Prepare and finalize discovery documents, including propounded and/or responses.

- Accurately and efficiently prepare shell responses to propounded discovery.

- Communicate with court staff regarding various matters.

- Handle incoming and outgoing mail/FedEx for assigned attorneys, tracking related deadlines, court appearances, meetings, mediations, etc.

- Maintain calendars, coordinating and scheduling meetings, depositions, and conference calls, while sending calendar invites and reminders, and reserving conference rooms. Track deadlines and case statuses, updating attorneys on court deadlines.

- Prepare Trial Memorandum and calendar all appearances and deadlines.

- Schedule local and out-of-town depositions, coordinate conference rooms (both in-office and remotely), and arrange for court reporters/videographers.

- Coordinate mediation dates.

- Scan and upload documents to Neos.

Trial Preparation Assistance:

Create trial notebooks, coordinate trial copy jobs with copy services, and manage the delivery and pickup of trial notebooks from court.


- Create Masters for new files, including Case Information Sheets, Captions, Proof of Service, Letters to Carriers and Clients, and Letters to Plaintiff's Counsel.

- Answer telephones, taking detailed messages. At the request of attorneys, follow up and interact with clients, outside counsel, and others.

- Perform other duties as necessary to support the firm and office operations.

Qualifications:
- Previous law firm experience (4+ years).

- Litigation experience.

- Exceptional organizational skills.

- Excellent writing and communication abilities.

- Capacity to multitask and prioritize workload effectively.

- Team-oriented mindset.

- Proficient in Microsoft Office applications.

- Familiarity with legal terminology and principles.

- Ability to analyze legal documents and ensure accuracy.

- Capability to work under pressure and meet deadlines while maintaining a positive attitude and providing exemplary customer service.

- Ability to work independently and complete assignments with minimal guidance.
