Position Overview

Role Summary: The Events and Environment Specialist is responsible for collaborating with the Bay Presbyterian Church (BPC) team to expertly plan, execute, and manage events while fostering inviting atmospheres that resonate with sermon themes and seasonal celebrations. This role also involves providing guidance and support to BPC ministries in organizing smaller gatherings.

Key Responsibilities:

  • Serve as the primary contact for major church events and special gatherings:
    • Conduct research and formulate strategic plans
    • Source materials, identify vendors, manage registrations, and coordinate volunteers
    • Oversee marketing and communication initiatives
    • Be present on-site during events to ensure smooth operations, including post-event wrap-up
    • Facilitate debriefing sessions following events
  • Support the Director of Care in organizing Legacy events and memorial services
  • Oversee budget allocations for events and environments
  • Coordinate and manage wedding schedules by reviewing requests, meeting with couples to finalize details, assisting the officiant, and handling invoicing and reception arrangements as necessary
  • Maintain an inventory of event-related materials, including decorations, props, and serving items
  • Advise BPC ministry leaders on event planning and execution
  • Collaborate with BPC staff and pastoral leadership to design visuals within the Sanctuary that enhance sermon series or seasonal observances
  • Develop environments across the campus that reflect seasonal themes, sermon series, or church initiatives
  • Participate in staff meetings and departmental planning sessions as required

Essential Skills and Qualifications:

  • A deep commitment to the mission of BPC and a passion for glorifying God through church events

  • Meticulous attention to detail with strong problem-solving skills

  • Ability to maintain composure under pressure while providing excellent customer service

Minimum Education and Experience:

  • Bachelor's degree preferred, but not mandatory
  • Prior experience in event management and/or design is advantageous
  • Flexible availability, including evenings and weekends as needed
  • Proficient in computer applications, including Microsoft and Google platforms
  • Successful completion of a background check is required for all candidates

Physical Requirements:

  • Ability to stand for extended periods
  • Capability to lift, carry, and transport items as necessary for events
  • Valid driver's license and ability to drive as required
