Overview
Under the guidance of the Clerical Services Supervisor, the Senior Deputy Circuit Court Clerk is responsible for executing advanced clerical duties within the Circuit Court. This role encompasses courtroom responsibilities, including the preparation of legal documents, management of jury processes, and handling urgent court matters efficiently. The position also involves assessing the acceptability of new filings and maintaining the accessibility of court records.
Key Responsibilities
1. Execute all essential functions of a Deputy Circuit Court Clerk as necessary.
2. Act as the courtroom clerk during various court proceedings, documenting actions and preparing necessary legal documents such as orders and notices.
3. Manage complex office functions, including data entry and error resolution, while ensuring the timely processing of urgent legal motions.
4. Facilitate communication between the court and various stakeholders, including law enforcement and legal offices, while responding to public inquiries.
5. Evaluate requests for judgment liens and writs of garnishment, ensuring compliance with legal standards.
6. Oversee the transmission of abstracts for licensing sanctions and manage case transfers between courts.
7. Conduct thorough record searches and ensure accurate data transmission to law enforcement agencies.
8. Prepare and issue certified copies of court records as required.
9. Monitor case progression to adhere to state guidelines and assist judges with necessary reports.
10. Schedule judicial hearings and provide case updates to the court.
11. Train new staff on clerical duties and adapt training materials to align with current legal standards.
12. Support specialty court programs by managing case qualifications and documentation.
13. Handle bond-related duties, including processing and maintaining accurate bond information.
14. Perform general office tasks such as filing, copying, and managing correspondence.
Qualifications
Education: An Associate's Degree in paralegal studies, legal studies, criminal justice, or a related field is required.
Experience: A minimum of three years of relevant experience in a court, law firm, or similar environment is essential.
Other Requirements: Must be eligible to serve as a Notary Public.
Working Conditions: This position operates in an indoor environment with exposure to individuals in crisis. Physical requirements include the ability to perform various movements and handle moderate physical demands.
This role is part of the UAW Group CBA and offers a comprehensive benefits package.
