POSITION OVERVIEW

The Patient Care Coordinator plays a vital role in ensuring the efficient and effective management of clerical, billing, admission/registration, and patient scheduling functions within the organization. This position is also responsible for tracking financial revenues and collaborating closely with nursing staff, supervisors, physicians, and management.

KEY RESPONSIBILITIES

Responsibility 1: Accurately inputs all patient demographic data, charges, and insurance details, ensuring all hospital adjustments and service dates are recorded. Responsible for entering all facility charges and ensuring compliance with hospital policies regarding chart completion.

Responsibility 2: Efficiently schedules patient appointments to align with the needs of patients, physicians, and staffing. Conducts appointment confirmation calls to patients the day before their scheduled visits and implements a tracking system for cancellations and rescheduling. Works with physicians and clinical supervisors to arrange emergency visits and follow-up tests or procedures as necessary.

Responsibility 3: Prepares patient charts and gathers necessary information for consultations and follow-up visits, including insurance cards, to maintain an organized workflow that supports physician satisfaction and high-quality patient care.

Responsibility 4: Maintains and updates a comprehensive list of insurance plans accepted by each physician, ensuring that preauthorization and medical necessity are secured for facilities and other referrals as needed.

Responsibility 5: Assists patients in understanding billing inquiries and provides them with the appropriate resources to clarify their office bills and explanation of benefits (EOBs).

Responsibility 6: Communicates patient care concerns promptly and accurately to nursing staff and physicians.

Responsibility 7: Develops and maintains a patient scheduling system that rotates physician assignments based on insurance participation, medical staff bylaws, and physician preferences.

Responsibility 8: Completes daily tasks and prepares for the following day in a timely manner to ensure smooth office operations and patient satisfaction.

Responsibility 9: Monitors office and departmental supplies, reporting any necessary repairs or issues to the appropriate personnel to maintain a well-functioning environment.

Responsibility 10: Ensures accurate diagnosis entry at the time of consultation.

Responsibility 11: Welcomes patients upon their arrival at the facility.

Responsibility 12: Manages incoming phone calls in a courteous and efficient manner.

Responsibility 13: Performs additional duties as assigned.

QUALIFICATIONS

  • High school diploma or equivalent required.
  • Proficiency in computer applications (Word, Excel) is essential.
  • Strong interpersonal communication and organizational skills with a service-oriented mindset.

PREFERRED QUALIFICATIONS

  • Associate Degree in Business Administration or related field.
  • Training as a Medical Office Assistant.
  • Prior experience in office or unit administration.
  • Familiarity with Medical Billing and ICD-10 coding.
  • Experience with Medicare processes.
  • Knowledge of Electronic Medical Records (EMR) systems.

PHYSICAL REQUIREMENTS

This role necessitates a full range of motion, including walking, lifting, bending, climbing, squatting, kneeling, twisting, sitting, and standing. The individual must be capable of walking for up to two hours daily, sitting for four hours, and standing for two hours. The ability to lift up to 50 pounds and reach overhead is required. Good eye-hand coordination and fine motor skills are essential, along with excellent verbal communication abilities. Vision and hearing must be within normal ranges.
