The Healthcare Practice Supervisor is tasked with overseeing all facets of practice operations within the unit, ensuring accountability for both business and clinical functions. This role involves managing daily site operations, supervising staff and associated performance metrics, maintaining budgetary and inventory oversight, and ensuring adherence to all policies, procedures, and regulations while delivering outstanding customer service.

Key Responsibilities:

Ensure the smooth operation of daily activities within the practice, fostering collaboration among staff and providers while tracking key objectives and metrics through daily meetings. Collaborate with operational leaders and the Talent Acquisition team to facilitate recruitment efforts and develop a staffing model that aligns with practice goals. Oversee patient access and provider scheduling workflows to streamline processes, enhance provider utilization, and improve patient access. Manage front desk operations to minimize errors, boost financial performance, and elevate patient satisfaction. Support clinical teams and, in conjunction with the compliance team, ensure adherence to regulatory clinical standards. Review and manage distribution requests from partners. Provide monthly operational reviews to physicians and partners, highlighting individual productivity metrics. Collaborate with providers to formulate ongoing access and capacity action plans aimed at enhancing provider productivity and satisfaction. Address marketing inquiries, online complaints, and other feedback. Mentor and coach staff to foster development, engagement, retention, and growth opportunities. Oversee daily management of inputs and outputs that influence financial outcomes. Ensure facilities are well-maintained and reflect the quality and brand of Women's Care. Ensure compliance with safety and regulatory standards, partnering with the compliance team to maintain a safe environment that meets or exceeds internal policies. Facilitate the onboarding and integration of new providers to meet revenue and growth objectives. Manage inventory, equipment, and supplies, ensuring effective controls are in place for expense management. Collaborate with operations leadership to investigate and resolve billing discrepancies as needed. Oversee patient satisfaction across all services, addressing complaints and customer service issues as they arise. Monitor medical equipment for proper use and functionality. Represent the practice in organizational meetings, contributing insights and decision-making as appropriate. Uphold and exemplify the mission and core values of Women's Care. Ensure compliance with all HIPAA regulations and guidelines. Perform other duties as assigned.

Qualifications:

Bachelor's degree preferred in management or a healthcare-related field; for level 3 positions, a bachelor's degree is required, with a master's preferred. A minimum of 3 years of progressive experience in a medical practice setting, including OBGYN experience; for level 3 positions, 5 years is required. Proficiency in computer systems, particularly EMR systems, preferably eClinicalWorks (eCW). Familiarity with medical terminology, billing processes, and insurance reimbursement practices. Understanding of healthcare financial management and profit and loss statements. Dependability, reliability, and punctuality are essential. Proven ability to lead and manage a team, with experience in conflict resolution. Strong judgment, dependability, and conscientiousness are required. High ethical standards and integrity are essential. Ability to lead and influence others effectively. Strong critical thinking skills to identify solutions and solve problems. Attention to detail and accuracy is crucial. A professional and positive demeanor is expected.
