JOB SUMMARY

Support the recruitment and onboarding efforts by collaborating with talent acquisition professionals, hiring supervisors, and both new and current employees throughout the onboarding journey.

DUTIES & RESPONSIBILITIES

  • Manage all pre-employment procedures for incoming staff, including sending welcome communications, providing orientation information, and collecting all necessary HR and credentialing documentation.
  • Initiate the background verification and pre-employment drug screening processes. Follow up with candidates to ensure all steps are completed as required. Review results and take appropriate action or escalate issues as necessary.
  • Facilitate the movement of candidates and employees through the recruitment and onboarding processes utilizing HRIS.
  • Serve as the primary contact for the talent acquisition team, candidates, and hiring managers while assisting with administrative tasks.
  • Promote talent acquisition initiatives by acting as a representative of the company, including leading weekly orientation sessions for new hires.
  • Assist with the assignment of employee badges and parking arrangements.
  • Oversee and coordinate communications with job candidates, including sending out rejection letters.
  • Review and process I-9 documentation.
  • Act as a resource for new employees regarding general inquiries.
  • Perform additional job-related tasks as assigned.

QUALIFICATIONS

  • High School Diploma

FIELD(S) OF STUDY:

  • Some post-secondary education is preferred.

EXPERIENCE

Minimum of 1 year of experience in Human Resources in a clerical or administrative role.

COMPETENCIES/SKILLS

  • Must be proactive, organized, precise, detail-oriented, and capable of managing multiple tasks simultaneously.
  • Ability to adapt and respond to changing business needs or unexpected situations.
  • Strong interpersonal, verbal, and written communication skills to engage effectively with team members at all organizational levels.
  • Customer-focused communication skills to address inquiries or concerns from both internal and external stakeholders.
  • Sound judgment and discretion are critical when handling sensitive and confidential information.
  • Intermediate proficiency in Microsoft Office Suite, particularly in Outlook, PowerPoint, Word, and Excel.
  • Familiarity with or ability to learn accurate data entry and research skills in PeopleSoft HRMS and SharePoint.
