Job SummaryThe HR Specialist/Coordinator will be responsible for ensuring the smooth operation of the Human Resources department. This role entails various tasks and functions that support the corporate workforce, including recruitment efforts, new hire onboarding processes, maintaining employee records, assisting with HR policies and compliance procedures, and acting as a liaison between the HR team, employees, and management.
Key Responsibilities- Maintaining and updating HR records, databases, and employee personnel files to ensure full compliance with regulations.
- Processing employee changes, including name updates, address changes, contact information updates, promotions, transfers, organizational changes, and terminations within the HRIS system.
- Overseeing the onboarding process for corporate new hires by facilitating orientation, completing Form I-9, creating employee badges, and coordinating the first day schedule with the hiring manager to ensure a positive experience.
- Collaborating with the Talent Acquisition team by coordinating interview panels and serving as an HR representative extending a warm welcome to candidates interviewing on site.
- Administering employee engagement efforts such as new hire/promotion announcements, service awards, social events, etc.
- Managing administrative functions surrounding leaves of absences and workplace accommodations, including FMLA, ADA/ADAAA, and PLOA.
- Facilitating employee separation procedures by conducting exit interviews and issuing proper documentation during departures.
- Providing support for interpreting and communicating HR policies to employees.
- Addressing general HR inquiries and providing guidance to employees on HR-related matters.
- Routing complex inquiries or issues to the appropriate HR personnel as needed.
- Preparing HR reports and documents for internal and external purposes.
- Collaborating with cross-functional teams to achieve HR objectives.
- Excellent written and verbal communication skills.
- Able to exercise good judgment in applying HR best practices, policies, procedures, employment laws, and regulations.
- Tactful dealing with others in difficult situations while maintaining confidentiality.
- Strong organization and time management skills with the ability to effectively manage multiple priorities and meet deadlines.
- Ability to cultivate working relationships with employees at all levels while delivering exceptional customer service.
- Effective in both team-oriented and independent work settings.
- Able to respond urgently and proactively to address employee matters, questions, and concerns.
- Strong analytical skills and ability to make data-driven decisions.
- Capacity to use forward-thinking approaches in solving problems.
- Thorough knowledge of HR and leave administration best practices.
- Solid understanding of employment laws and regulations (e.g., FLSA, ADEA, EEO, ADA, FMLA).
- Proficient in Microsoft Office Suites (Word, Excel, PowerPoint, Outlook, Teams, etc.) and HRIS databases.
- Bachelor's degree in Human Resources, Business Administration, Psychology, or related field preferred.
- Minimum 2-3 years HR experience, with a focus on HR Coordination functions, required.
- Proficient in HRIS systems like Workday, PeopleSoft, SAP, or similar.
- Work is performed in an office environment with telephones, computers, and printers.
- Noise level is usually moderate.
- Sedentary position with occasional lifting less than 25 pounds.
- May require standing less than or equal to 1/3 of the day.
- Willingness to travel up to 10% of the time.
Compensation Package
This role offers a competitive salary of $65,000 - $75,000 per year, depending on experience, plus benefits and opportunities for professional growth.
