Job Overview

This role involves performing administrative duties to support the Criminal Division and related functions as assigned. The position operates under the guidance of the Associate City Attorney and receives direction from the Administrative Coordinator.

Key Responsibilities:

  • Analyzes police reports to identify relevant witnesses, assess charging status, and determine evidence availability by utilizing various databases and reviewing law enforcement materials. Initiates case files in the management system and retrieves necessary criminal history information.
  • Oversees court scheduling for criminal cases, updates the case management system, maintains criminal files, and finalizes cases by completing necessary tasks and informing police agencies of case outcomes.
  • Prepares cases for trial by organizing physical files, documents, and evidence, obtaining certified documents, and filing necessary paperwork with the court through designated systems.
  • Provides support to the Administrative Coordinator, Legal Assistant, and Law Enforcement Video Analyst, as well as clerical assistance to the Associate and Assistant City Attorneys.
  • Acts as the primary point of contact for public inquiries, directing them to appropriate resources, and offering notary services as needed. Responsible for maintaining office supplies.
  • Completes additional tasks as assigned.

Qualifications:

  • High school diploma or GED required.
  • At least one year of experience in a legal secretary, legal assistant, or paralegal role within a criminal law context, or equivalent experience in a court administrator's office or law enforcement agency.
  • Must obtain Minnesota Bureau of Criminal Apprehension Criminal Justice Information Security certification within six months of employment.
  • Must be commissioned as a notary public within six months of employment.
  • Valid driving privileges in the State of Minnesota are required.

Knowledge, Skills, and Abilities:

  • Comprehensive understanding of city and departmental policies and procedures.
  • Proficient in Microsoft Office Suite and relevant software applications.
  • Familiarity with district court structure and Minnesota criminal law.
  • Knowledge of legal terminology, forms, and procedures, including laws related to notary publics and the Minnesota Data Practices Act.
  • Understanding of Victim's Rights laws.

Skills:

  • Proficient in using word processing, email, internet browsers, and complex software for case and document management.

Abilities:

  • Effectively utilize Microsoft Office Suite and specific software applications.
  • Handle large volumes of data while managing phone interruptions.
  • Prioritize and manage multiple tasks with minimal supervision.
  • Exercise discretion in handling confidential information.
  • Adapt to changes in responsibilities as needed.
  • Operate standard office equipment efficiently.
  • Communicate effectively in both written and verbal formats.
  • Build and maintain effective working relationships with colleagues, supervisors, and the public.

Physical Requirements:
This position may require occasional lifting of up to 25 pounds and involves regular sitting, speaking, and hearing. The role requires using hands for various tasks and preparing and analyzing written or digital data. The work environment is generally in a moderately noisy office setting with standard vision requirements.
