Key Responsibilities
  • Contract and Records Oversight: Manage and maintain all contracts, ensuring compliance with agency policies and relevant regulations.
  • Vendor Relations: Cultivate and maintain relationships with local vendors, overseeing maintenance and service agreements.
  • Financial Management: Negotiate vendor contracts, review and reconcile invoices, and ensure timely payments.
  • Staff Oversight: Supervise clerical staff, manage workflow, and participate in hiring and training processes.
  • Effective Communication: Foster professional communication within the agency and assist with community relations.
  • Onboarding and Training: Facilitate the onboarding process for new hires and coordinate training sessions.
  • Program Coordination: Oversee the Personal Emergency Response Program, including scheduling and inventory management.
  • Inventory Control: Manage procurement and inventory within budgetary guidelines.
  • Administrative Support: Assist leadership in budget preparation and financial analysis.
  • Additional Duties: Handle facilities management and promote community relations.
Qualifications
  • Experience: Minimum of three years in office administration, with strong organizational and communication skills.
  • Technical Skills: Proficiency in Microsoft Office Suite and experience in vendor negotiations.
  • Leadership Qualities: Demonstrated ability to manage multiple tasks and lead a team effectively.
Supervisory Responsibilities

The Office Manager will oversee reception staff from both locations.
