Occupancy Coordinator

Central City Concern, a pioneering nonprofit agency, is seeking an exceptional Occupancy Coordinator - Affordable Housing Specialist to join our team. This role is crucial in maximizing the utilization of our housing portfolio, ensuring the successful tenancies of our residents, and upholding our mission to end homelessness through outcome-based strategies.
About the Role
We are looking for a highly organized and detail-oriented individual to manage waitlists, process applications and income certifications, prepare leases and addenda, monitor vacancy, and coordinate Section 8 subsidies. The successful candidate will be responsible for maximizing portfolio occupancy, ensuring compliance with regulations, and maintaining effective communication with applicants, property managers, and internal staff.
Key Responsibilities
- Maximize portfolio occupancy through effective coordination of approved applicants and available units throughout assigned properties.
- Prepare residential leases, ensuring compliance with relevant laws and regulations.
- Coordinate waitlist and application processing for units with Section 8 subsidy, including assisting applicants with preparation of Home Forward documents and high-volume scheduling with Home Forward.
- Process a wide variety of income verification documents, ensuring accuracy and timeliness.
- Prepare Tenant Income Certifications in accordance with various funding agreements, adhering to regulatory requirements.
- Post tenant and subsidy rent payments, security deposits, and other revenue items in Property Management Database, maintaining accurate records.
- Maintain a schedule of move-in activity, coordinating with staff as needed to facilitate a smooth workflow.
- Prepare and maintain tenant files and documentation in a neat, orderly manner, adhering to confidentiality and data protection regulations.
- Prepare periodic reports on building occupancy and tenant certification, providing insights for data-driven decision-making.
- Assist with other data processing as needed, ensuring seamless support to the team.
- Manage Resident Reasonable Accommodation/Modification procedure, upholding the agency's commitment to accessibility and inclusivity.
- Serve as a backup for other Occupancy Specialists, Administrative Assistants, and Compliance Specialists during absences and/or during peak work periods.
- Adhere to all state and federal privacy and security regulations applicable to the program, and to CCC policies and agreements regarding confidentiality, privacy, and security.

Requirements
We are seeking a highly motivated and detail-oriented individual with a strong background in property management, preferably in affordable housing management. The ideal candidate will possess:
- A high school diploma or GED equivalent; a bachelor's degree is preferred.
- At least one year of property management experience, preferably in affordable housing management; or two years of related experience, including direct customer service experience with renters, tenants, etc.
- Direct experience with LIHTC tenant certification is preferred.
- Familiarity with Oregon Landlord/Tenant and Fair Housing Laws and practices.
- Working knowledge of MS Office software and the ability to perform basic functions such as composing business forms, letters, and creating spreadsheets.
- Sufficient composition and grammatical proficiency to compose proper business letters, report summaries, and technical documents.
- Able to pass a pre-employment drug screen and background check.

Location
This role is based in Portland, Oregon, with a competitive salary range of $63,000 - $73,000 per annum, depending on experience.
