We're partnering with a renowned financial services company that has been a leader in the industry for over 60 years. This esteemed organization is seeking a highly skilled Senior HR Administrative Assistant to join their team on a temporary basis. Position Overview:
The Senior HR Administrative Assistant will play a critical role in ensuring the efficient operation of the company's Human Resources department. Key responsibilities include developing and implementing administrative policies and procedures, coordinating projects and initiatives, maintaining accurate records, and assisting with financial tasks. The ideal candidate will possess excellent communication and organizational skills, be detail-oriented, and have a proven ability to multitask in a fast-paced environment.
Responsibilities:
  • Develop and implement administrative HR policies and procedures to ensure efficient office operations and compliance with company standards and regulations.
  • Process associate transactions into the PeopleSoft HRMS system with accuracy and timeliness.
  • Maintain and organize electronic and physical filing systems and ensure documents are accurately labeled, stored, and easily accessible for retrieval.
  • Maintain and update databases, spreadsheets, and other records to ensure the accuracy and accessibility of information for decision-making and reporting purposes.
  • Coordinate with external vendors and suppliers, negotiate contracts, process payments, and resolve issues to ensure smooth operations and cost-effective solutions.
  • Identify and resolve administrative issues and challenges, proactively address concerns, and implement solutions to improve efficiency and effectiveness.
  • Organize and coordinate company events, meetings, and conferences and contribute to venue selection, catering arrangements, guest invitations, and logistical support.
  • Monitor and ensure compliance with relevant laws, regulations, and industry standards, such as data protection, privacy, and security measures.
  • Provide leadership and guidance to administrative staff, assign tasks, oversee workloads, and provide training and development opportunities. Establish and maintain electronic employee records.
  • Collect and audit associate I-9 documents.
  • Audit and monitor associate data changes.
  • Analyze PeopleSoft system testing requirements for scheduled system updates and business practice changes.
  • Maintain HR-Records related process documentation.
  • Perform other duties and responsibilities as assigned.

Qualifications:
  • Minimum of 3+ years of Executive Assistant or Senior Administrative Assistant experience in a corporate financial setting.
  • Proficiency in computer skills, including Microsoft Office (Word, Excel, and Outlook).
  • Strong understanding of commercial lending concepts and experience in a loan operations environment.
  • Excellent knowledge and understanding of collateral perfection requirements, commercial loan documents, and corporate credit policy.
  • Proficiency in Google Suite and familiarity with virtual meeting platforms (Zoom, Teams).
  • Detail-oriented with strong problem-solving abilities.
  • Ability to work independently and collaboratively in a team environment.
  • High level of discretion and professionalism when handling sensitive information.

  • High school diploma or equivalent is required.
