Job Summary

The Travel and Honoraria Lead is responsible for overseeing a staff and providing administrative travel reimbursement and honoraria support for the Department of Energy (DOE), Office of Science. This position requires making accurate and cost-effective foreign and domestic travel arrangements, providing technical knowledge of Federal foreign and domestic travel regulations, and ensuring reimbursements and payments are disbursed in a timely manner.

Key Responsibilities
  • Leads and mentors assigned staff to ensure maximum performance with high standards.
  • Uses Concur software to book hotel and all modes of transportation reservations according to Federal government guidelines.
  • Interacts with clients and researchers from the United States and abroad to support travel requirements.
  • Assists travelers in using Concur and in completing expense reimbursement processes.
  • Initiates, processes, and completes honoraria payments to both domestic and international subject matter experts.
  • Reviews requirements of foreign and domestic travel regulations and policy changes, informing and instructing other office personnel on requirement changes.
  • Reviews and audits travel orders to ensure travel mode and entitlements accurately reflect travelers' itineraries and comply with Federal travel regulations.
  • Prepares financial status data and reports for management, as required.
Requirements
  • Bachelor's degree and a minimum of seven (7) years' relevant experience, or equivalent combination of education/experience.
  • Operational knowledge of online travel systems, including Ad Trav, FTMS, and Concur.
  • Working knowledge of Federal Travel Regulation (FTR).
  • Requires knowledge in using Microsoft Office Suite and other DOE legacy administrative systems.
  • Operational knowledge of standard office practices and procedures.
  • Proficient in the use of standard office equipment and automation systems.
  • Requires knowledge in gathering and synthesizing data from various sources to support reporting process.
  • Excellent verbal and written communications skills.
  • Excellent customer service and relationship-building skills.
  • Ability to effectively interact with a large, diverse customer population.
  • Excellent listening and problem resolution skills.
  • Excellent organization and analytical skills with ability to manage multiple projects and priorities.
  • Ability to work effectively both individually and in a team environment.
  • Ability to manage employees.
Language Skills

Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.

Mathematical Skills

Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry.

Reasoning Ability

Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.

Work is primarily performed in an office environment. Regularly required to sit. Regularly required use hands to finger, handle, or feel, reach with hands and arms to handle objects and operate tools, computer, and/or controls. Required to speak and hear. Occasionally required to stand, walk, and stoop, kneel, crouch, or crawl. Must frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, depth perception, and ability to adjust focus. Exposed to general office noise with computers, printers, and light traffic.
