Position Overview:

We are currently seeking a detail-oriented Bilingual Scheduling Coordinator (Fluent in Spanish & English) to support our operations. This is a full-time, permanent role that offers daytime hours.

Key Responsibilities:
  • Organize and manage schedules for staff, appointments, and meetings to promote efficient workflow.
  • Collaborate with team members to ensure alignment of schedules with project timelines.
  • Address and resolve scheduling conflicts as they arise.
  • Communicate scheduling information to all relevant parties, including updates and reminders.
  • Act as the primary contact for scheduling inquiries and issues.
  • Coordinate with clients, vendors, and external partners to set up meetings and appointments.
  • Maintain accurate records of all schedules and appointments.
  • Prepare and distribute schedules, calendars, and related documentation.
  • Assist with various administrative tasks, including filing and data entry.
  • Work closely with other departments to ensure effective scheduling and coordination.
  • Monitor and manage scheduling tools and software.
  • Support the planning and execution of events and special projects.
Qualifications:
  • Experience in scheduling, administrative support, or a related field.
  • Strong organizational and multitasking capabilities.
  • Excellent communication and interpersonal skills.
  • Proficiency in scheduling software and Microsoft Office Suite.
  • Attention to detail and strong problem-solving abilities.
