Position OverviewThe HR Administrative Assistant will provide administrative support to the Human Resources team, ensuring confidentiality, initiative, and sound decision-making. This role involves providing administrative support, ensuring data integrity related to employee information, and assisting with HR functions such as recruitment, onboarding, retention, employee relations, training and development, benefits, and safety.
Key Responsibilities- Document & Data Management
- Enter employee data into HR systems, ensuring accuracy and timeliness.
- Establish, develop, maintain, and update filing systems for the HR Department.
- Prepare, scan, maintain, and file papers and documents into employee files; perform file and system audits as necessary.
- Ensure compliance with internal and external audits; track necessary paperwork for personnel files.
- Compile data from the HRIS system and prepare reports.
- Scheduling & Coordination
- Schedule and organize activities such as meetings, conferences, and department and HR-led company events.
- Participate in the preparation and coordination of employee engagement initiatives to amplify CompoSecure's company culture.
- Organize internal and external meetings, including logistical and substantive preparation.
- Arrange the use of conference rooms; coordinate schedules, make appointments, and prepare agendas.
- HR Functions
- Oversee the maintenance of employee benefit files and update employee records.
- Assist with the recruitment and interviewing process, including background verifications and scheduling drug tests.
- Conduct new hire orientations for contingent workforce and prepare onboarding materials.
- Create transfer and promotion letters/correspondence for internal employees.
- Support leaves of absence process and benefits administration with follow-up and documentation as needed.
- Distribute materials for benefit orientations, open enrollment, and summary plan descriptions.
Required Skills and Competencies
- Minimum 3 years of experience in a high-level administrative role, preferably within HR.
- High School diploma/GED required; BA or BS preferred.
- Prior experience with an Applicant Tracking system and HRIS system.
- Excellent communication skills, both oral and written, including telephone etiquette.
- Excellent time management and organizational skills; ability to prioritize workload.
- Advanced knowledge in Microsoft Office: Excel, Word, and PowerPoint.
- Excellent problem-solving skills.
- Tact and good judgment in confidential situations.
- Exceptional detail orientation and organization skills.
