Position Title: Community Volunteer Manager

Reports to: Director of Basic Needs

Hiring Range: $23.00/hr. DOE

Primary Function of Position

As the Community Volunteer Manager, you will be responsible for managing all facets of the volunteer initiative at our Basic Needs location. This includes the recruitment and retention of volunteers, ensuring compliance with application procedures, placement, recognition, and overall oversight. You will also work closely with the warehouse team to coordinate and enlist volunteer groups for food drives.

Major Position Responsibilities
  1. Volunteer Placement: Recruit, interview, and assign volunteers to service programs.
  2. Application Maintenance: Ensure that volunteer applications and records are kept in accordance with organizational policies.
  3. Training: Facilitate regular safety training sessions for volunteers and any additional necessary training.
  4. Data Entry: Maintain accurate data entry and records for all volunteers.
  5. Compliance: Ensure adherence to agency standards, policies, and procedures regarding the volunteer program.
  6. Handbook Maintenance: Keep the volunteer handbook updated, including all application forms, policies, and procedures.
  7. Event Coordination: Organize volunteers for food drives and other significant agency events.
  8. Outreach Events: Participate in community outreach events aimed at recruiting volunteers.
  9. Main Contact: Act as the primary liaison for WSU CCEL and Student Engaged Leader.
  10. Orientations: Conduct orientations for new volunteers.
  11. Acknowledgment: Send thank you letters to volunteer groups and those who contribute to donation drives.
  12. Volunteer Placement: In collaboration with the Warehouse Manager, welcome and assign daily volunteers in both the pantry and warehouse to ensure meaningful engagement, and assist with group volunteer activities.
  13. Staffing Coordination: Maintain a schedule for regular volunteers across all program areas, including client intake and reception duties. Collaborate with the warehouse manager to determine volunteer assignments or needs.
  14. Engagement: Interact with and support volunteers while they are onsite in the pantry and warehouse.
  15. Other duties as assigned.
Work Environment
  1. This position operates in a professional office setting utilizing standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines.
  2. This role also involves outdoor work in various weather conditions.
  3. Some local travel may be necessary.
Physical Demands
  1. This is primarily a sedentary role; however, some filing is required, necessitating the ability to lift files, open filing cabinets, and bend or stand as needed.
  2. This role includes local driving responsibilities.

  6. Program Accountability: Ability to develop, coordinate, and maintain accountability within programs.
  7. Supervision: Capability to supervise volunteers effectively.
  8. Confidentiality: Must maintain confidentiality at all times.
  9. Personal Qualities: Qualities of openness and respect for colleagues and clients, along with compassion and graciousness in assisting clients in assessing their situations and accepting help.
Education, Training, and Experience
  1. Education: Bachelor's degree or equivalent experience.
  2. Language: Spanish speaking preferred.
  3. Volunteer Coordination: Experience in coordinating and managing volunteers.
  4. Software Proficiency: Familiarity with computer software including MS Word, Excel, and internet applications.
Background Screening Requirement
  1. Must pass a national BCI/FBI background check.
Licenses, certifications, and credentials
  1. Current Utah driver's license, proof of auto insurance with minimum policy liability limits of $50,000 per person and $100,000 per incident, 21 years of age or older, a clean driving record, and ability to meet vehicle safety requirements.
Position status and expected schedule
  1. This position is scheduled for 30 hours per week from Monday through Friday between the hours of 7:00 am to 1:00 pm.
