Job Overview

Position Summary: The Employee Benefits and Compliance Advisor is tasked with overseeing and managing various facets of employee benefits and compliance initiatives. This role encompasses the administration of the 401k retirement plan, management of billing processes, oversight of leave of absence requests, adherence to ADA regulations, handling of workman's compensation claims, reporting of workplace violence incidents, resolution of employee relations matters, and providing support to the HR department on various projects aimed at enhancing team performance. The ideal candidate will ensure that all programs are in line with applicable laws and regulations while delivering exceptional support to employees.

Core Responsibilities:

  1. Management of 401k Retirement Plan:
    • Administer and oversee the company's 401k retirement plan.
    • Ensure timely and precise processing of contributions and distributions.
    • Educate and assist employees regarding plan options and benefits.
    • Monitor compliance with ERISA and other pertinent regulations.
    • Collaborate with third-party administrators and auditors as necessary.
  2. Billing Oversight:
    • Supervise the billing process for benefits-related expenditures.
    • Reconcile invoices and guarantee accurate payment processing.
    • Address billing discrepancies and resolve issues promptly.
    • Maintain comprehensive records of all billing transactions.
  3. Leave of Absence Oversight:
    • Manage employee leave of absence requests, including FMLA and personal leave.
    • Ensure compliance with federal, state, and company leave policies.
    • Document and track all leave of absence activities.
    • Provide guidance to employees and managers on leave policies and procedures.
  4. ADA Compliance Management:
    • Administer and manage the company's adherence to the Americans with Disabilities Act (ADA).
    • Coordinate reasonable accommodation requests and interactive processes.
    • Ensure documentation and communication comply with ADA requirements.
    • Provide training and support to managers and employees regarding ADA compliance.
  5. Workman's Compensation Oversight:
    • Manage workman's compensation claims from initial report to resolution.
    • Coordinate with insurance carriers, healthcare providers, and employees to ensure timely and accurate claims processing.
    • Maintain records of all workman's compensation claims and ensure compliance with state laws.
    • Conduct investigations and follow up on workplace injuries and incidents.
  6. Workplace Violence Reporting:
    • Handle the reporting and documentation of workplace violence incidents.
    • Conduct investigations and coordinate with security and law enforcement as necessary.
    • Develop and implement workplace violence prevention programs and training.
    • Ensure compliance with OSHA and other relevant regulations.
  7. Employee Relations and Conflict Resolution:
    • Address and resolve employee relations issues effectively and promptly.
    • Conduct thorough investigations into employee complaints and concerns.
    • Facilitate conflict resolution between employees and/or management.
    • Provide coaching and guidance to managers and employees on conflict resolution techniques.
    • Ensure that all employee relations activities align with company policies and legal requirements.
  8. Support for HR Department:
    • Assist with HR projects and initiatives to enhance department efficiency and effectiveness.
    • Provide administrative support to the HR team, including data entry, report generation, and document management.
    • Collaborate with HR team members to develop and implement programs that improve team performance and employee engagement.
    • Participate in HR meetings and contribute to strategic planning and decision-making processes.
    • Help coordinate training sessions and professional development opportunities for HR staff.

Qualifications:

  • Bachelor's degree in Human Resources, Business Administration, or a related field.
  • 3+ years of experience in benefits administration and compliance.
  • Knowledge of federal and state regulations related to employee benefits and workplace safety.
  • Strong organizational and communication skills.
  • Ability to manage sensitive and confidential information with discretion.
  • Proficiency in HRIS and benefits management software.
  • Certification in Human Resources (PHR/SPHR) is advantageous.

Working Conditions:

  • Full-time position with a standard workweek.
  • Occasional travel may be required for training and meetings.
