Main Responsibilities:
- Greet and welcome clients, visitors, and vendors with professionalism and warmth.
- Answer and direct phone calls promptly and efficiently, ensuring accurate message-taking.
- Schedule and confirm appointments, meetings, and consultations.
- Manage incoming and outgoing mail, packages, and deliveries.
- Assist with administrative tasks such as data entry, filing, and preparing documents.
- Handle sensitive and confidential information with discretion.
- Coordinate with office staff to ensure seamless day-to-day operations.
- Ensure the reception area, kitchen, and conference rooms are consistently clean, well-organized, and fully stocked.
- Manage supply orders and maintain adequate stock levels for all floors.
- High school diploma or equivalent; additional certifications or college coursework is a plus.
- Proven experience as a receptionist, front desk representative, or similar role, preferably in a law firm or professional services setting.
- Excellent verbal and written communication skills.
- Strong organizational and multitasking abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with office equipment (e.g., printers, scanners, phone systems).
- Professional demeanor and appearance.
- Ability to remain calm and composed in high-pressure situations.
