Job Summary:
We are seeking a full-time Project Scheduler to oversee scheduling and forecast management for Project Managers, Install Technicians, Sales Executives, and Customers. This role ensures that all projects are effectively planned and coordinated to meet customer and business expectations. The ideal candidate is detail-oriented, highly organized, and excels in communication and multitasking.
Key Responsibilities:
- Scheduling & Forecasting: Prepare and distribute the daily schedule with safety information, develop preliminary schedules for the following day, and assign technicians as needed.
- Customer & Team Communication: Confirm installation work dates with customers, communicate scheduling updates, handle high volumes of phone calls, and liaise between departments to resolve issues.
- Project Oversight: Dispatch Lead Technicians and Project Managers to walk job sites two weeks in advance, track technician arrival times, maintain the 'Communication Log', and address tardiness.
Administrative Support:
- Set up and manage job packets for onsite access, ensure complete job information, and maintain job tracking reports (Est vs Act, Billings, Forecast Schedules).
- Prepare Operations & Maintenance Manuals for completed jobs, assist in ordering temporary labor, materials, equipment, and office supplies as needed.
Cross-Department Collaboration:
- Schedule kick-off meetings for new projects with Sales Executives and Project Managers.
- Work closely with the Install Purchaser to ensure materials and equipment are available for upcoming jobs.
Qualifications:
- Strong ability to work independently without direct supervision.
- Excellent customer service and diplomatic communication skills.
- Ability to manage multiple tasks in a fast-paced environment.
- Proficiency in Microsoft Outlook, Word, Excel, and Adobe Professional.
- Strong command of the English language, including grammar, usage, and spelling.
Compensation: $28-$35 per hour, depending on experience. Benefits include paid vacation, holidays, full medical benefits, 401K with 3% employer contribution, employee stock ownership, and profit sharing.
