Healthcare Operations Manager

KEY RESPONSIBILITIES
- Oversee the daily operational functions of the medical practice, ensuring effective management of staff and facility upkeep.
- Provide direction and supervision to various roles including Medical Secretaries, Medical Records personnel, Medical Assistants, Licensed Practical Nurses, and Registered Nurses.
- As part of the Leadership Team, manage and evaluate the operational and financial performance of the practice, implementing corrective measures as necessary.
- Coordinate clinical operations with healthcare providers and the Medical Director consistently.
- Address and resolve patient complaints, billing inquiries, and other administrative challenges within the practice.
- Ensure staff proficiency in utilizing the practice management system, identifying training needs and issues.
- Oversee the accurate documentation of patient visits in a timely manner.
- Collaborate with the Compliance Department to manage medical records and safeguard protected health information.
- Engage with external organizations regarding patient services, including translation and transportation, and authorize payments as per established protocols.
- Ensure compliance with financial transaction processes and maintain accurate financial records.
- Supervise the completion and submission of service billing codes and daily production reconciliation reports.
- Collect, compile, and submit precise financial and statistical information.
- Review and approve invoices and financial statements as required.
- Manage the maintenance and coordination of services related to the facility, property, and equipment.
The Manager is also tasked with ensuring that Patient-Centered Medical Home (PCMH) activities align with established standards and organizational policies.
- Engage in daily team meetings to facilitate effective communication and implementation of practices.
- Monitor adherence to PCMH standards, reporting any obstacles to the designated corporate representative.
QUALIFICATIONS
A Bachelor's degree in business administration or healthcare management is required. A minimum of two years of experience in managing a medical practice or public health clinic, including at least one year in a supervisory role at the departmental level. Equivalent education and work experience may be considered in lieu of a degree.
