As a Healthcare Unit Administrator, your primary role will involve overseeing the daily operations within the unit to ensure efficient departmental functioning. The ideal candidate will exhibit strong listening abilities and provide services in a courteous and professional manner, whether managing phone calls, conveying messages, or welcoming visitors. Key administrative responsibilities include supporting clerical tasks related to patient admissions, transfers, and discharges; coordinating service requests; and managing inventory for the unit. Previous experience in a healthcare environment with clerical duties is preferred.
This position is full-time, with variable night shifts, requiring availability from 7:00 p.m. to 7:30 a.m. to accommodate patient care requirements.
Key Responsibilities:
- Assist with clerical tasks related to patient admissions, transfers, and discharges.
- Maintain accurate inventory and ordering of supplies using the Meditech system. Oversee the ordering, processing, and delivery of supplies and equipment to the unit.
- Support nursing staff with clerical functions and facilitate intra- and inter-departmental communications.
- Perform various clerical duties, including answering phones, relaying messages, distributing mail, preparing admission charts, copying forms, and scheduling procedures.
- Act as a liaison by welcoming and providing information to patients, families, visitors, staff, and physicians.
- Coordinate service requests with IT and maintenance to ensure optimal functionality of equipment.
- Assist in managing the monthly staff schedule and processing PTO requests in accordance with leadership guidelines.
- Support staff edits in the Kronos system.
- Maintain a safe, organized, and clean environment at the nurse's station.
- Engage in professional development through seminars, workshops, and affiliations to stay updated on industry trends.
- Adhere to safety practices and policies to prevent injuries to oneself and others.
- Comply with organizational policies and procedures, as well as labor agreements.
- Ensure courteous and efficient interactions with team members and support groups, aligning with the organization's values.
- Conduct oneself professionally and maintain personal appearance standards necessary for the role.
- Address additional responsibilities as required by management to meet organizational standards.
Qualifications:
- High school diploma or equivalent.
- Proficient in computer and phone skills; familiarity with the Meditech EMR system is preferred.
- Understanding of medical terminology is advantageous.
- One to two years of experience in a healthcare setting is preferred.
- Basic Life Support Heartsaver (HS) certification to be completed within three months of hire.

Physical Requirements:
- Ability to stand, sit, bend, or lift for extended periods.
- Manual dexterity and capability to lift/carry up to 10 pounds (supplies and equipment).
- Physical strength to perform CPR if necessary.
- Good visual acuity, able to see clearly at various distances.
- Effective communication skills for accurate information exchange with healthcare professionals, patients, and the public.
