Job Title: Health Services Specialist

The Document Management Specialist will play a pivotal role in providing controlled document support by managing the document lifecycle in the cloud-based electronic Document Management System (eDMS). This position will involve separating centralized regional Standard Operating Procedures (SOPs) into site-specific SOPs, ensuring content clarity, consistency, and adherence to company documentation standards and practices.

Key Responsibilities:
  • Review content for formatting, readability, and provide recommendations to enhance document clarity.
  • Facilitate the selection and appropriate use of controlled document types to ensure compliance with company standards.
  • Upload documents into the eDMS and route them for approvals, ensuring timely and efficient processing.
  • Execute the periodic review process to maintain document accuracy and relevance.
  • Collaborate with document owners to clarify requests and provide guidance on good documentation practices.
  • Regularly communicate with internal clients to keep them informed of their document status and provide updates on document progress.
  • Promote and convey good documentation practices to ensure consistency across the organization.
Qualifications and Skills:
  • Proficiency in Microsoft Office applications, including Word, Excel, PowerPoint, and Visio.
  • Experience in formatting and editing documents to ensure clarity and consistency.
  • Strong collaboration and communication skills to work effectively with internal clients and document owners.
  • Ability to work across organizations and regions, understanding the importance of document management best practices.
  • Awareness of compliance and regulatory requirements, with a focus on maintaining accurate and up-to-date documentation.
  • Previous experience with VeevaVault is desired, but not required.
  • Education requirement: Bachelor's Degree in a related field.
